Position Summary
The Executive Meeting Manager is responsible for driving room-block-only group business for Harraseeket Inn while providing sales support for the property’s group & event segments. This position focuses on supporting the sales department, converting qualified leads, and delivering exceptional service throughout the event detailing.
The ideal candidate is a motivated, organized, and relationship-driven professional who enjoys sales, thrives in a hospitality environment, and is committed to achieving revenue goals. This role offers an opportunity to develop within the sales department while contributing directly to the Inn’s continued growth.
Responsibilities & Job Duties
Sell and manage room-block-only group business and small events
Respond to inquiries, conduct discovery calls, prepare proposals, and follow up consistently to convert leads into bookings.
Develop and maintain strong relationships with clients, meeting planners, and local businesses.
Collaborate with the Director of Sales to identify opportunities for account development and revenue growth.
Administrative duties include, typing contracts, creating banquet event orders, creating group blocks, entering rooming lists, tracking cut off dates, calling clients for payment details and rooming lists or any other group details
Creating and distributing to operations team, weekly upcoming groups and meetings list
Act as a customer service contact for clients who have questions about their accounts or groups when the Director of Sales is not available.
Work with other departments to communicate all necessary sales, group and/or meeting details and/or changes for upcoming groups/meetings.
Work with group and meeting contacts for Food & Beverage menus, guarantees and payments
Create Banquet Event Orders (BEO) for all booked events, manage changes to BEO’s and communicate to the operations team
Answer telephone and respond to caller inquiries in a knowledgeable and pleasant manner.
Answer sales inquiries and client questions by phone or email, promptly.
Meets with clients/performs hotel site tours as needed.
Utilize existing sales system, and filing systems to keep all active sales files updated digitally and in hard copy form.
Maintain inventory of sales collateral such as brochures, work with Director of Sales and Giri eCommerce to create updated collateral and/or seasonal or other sales flyers as needed.
Qualifications
Previous experience in hospitality, sales, customer service, or a related field is strongly preferred.
Strong communication, organization, and interpersonal skills.
Ability to build relationships and confidently present products and services.
Self-motivated, detail-oriented, and able to manage multiple priorities.
Proficiency with Microsoft Office and the ability to learn hotel sales systems.
Ability to work independently while contributing effectively to a team.
Previous hotel sales experience preferred but not required.
Key Performance Indicators
Room-block-only group revenue and room nights booked.
Lead conversion and booking pace.
Timely and accurate follow-up.
Client satisfaction and successful sales-to-operations transitions.
This is a full-time, on-property sales position. The role requires regular presence at the Harraseeket Inn to support clients, conduct tours, collaborate with hotel departments, and contribute to the daily operations of the sales office. Occasional evenings, weekends, or special events may be required based on business needs.
