Finance & Administrative Compliance Coordinator

nDo you love keeping things organized, catching the details others might overlook, and making sure everything is where it needs to be?
nTimberline is looking for a Finance & Administrative Compliance Coordinator to join our team and help keep the business running smoothly behind the scenes. This is a great opportunity for someone who is organized, curious, dependable, and enjoys having a hand in a little bit of everything.
nYou'll support our Finance team while taking ownership of important administrative and compliance processes - from tracking business licenses and state registrations to managing insurance documentation, prequalification requirements, records, and basic accounting tasks.
nYou don't need to be a compliance expert. If you're organized, willing to learn, and good at following something through from "we need this" to "it's done," we'll teach you the rest.
nWhat You'll Be Doing
nThink of yourself as the person who keeps the details moving.
nYou'll:
nnnKeep track of state registrations, business licenses, renewals, and compliance requirements across multiple states.
n
nnMaintain compliance calendars so important deadlines don't sneak up on us.
n
nnHelp manage sales tax registrations and renewals.
n
nnKeep insurance policies, certificates, renewals, and related documentation organized and up to date.
n
nnCoordinate requests for Certificates of Insurance and work with our insurance brokers.
n
nnHelp gather information and documentation for annual insurance renewals.
n
nnMonitor client prequalification portals and make sure required information stays current.
n
nnMaintain company records, files, databases, and tracking systems.
n
nnPrepare spreadsheets, reports, correspondence, and other business documents.
n
nnSupport the Finance team with data entry, bookkeeping, basic accounting tasks, and journal entries.
n
nnResearch requirements from state and governmental agencies and help communicate changes internally.
n
nnAssist with audits, compliance requests, and special projects.
n
nnJump in wherever the Finance and Administrative team needs an extra set of hands.
n
n nWhat We're Looking For
nWe're looking for someone who is organized enough to keep track of the details, curious enough to ask questions, and persistent enough to follow things through.
nYou should have:
nnn2+ years of administrative, office management, bookkeeping, finance, or related experience.
n
nnStrong organizational skills and exceptional attention to detail.
n
nnProficiency with Microsoft Office, particularly Excel, Word, and Outlook.
n
nnStrong written and verbal communication skills.
n
nnThe ability to manage multiple priorities and deadlines.
n
nnStrong follow-up and problem-solving skills.
n
nnA high level of professionalism and discretion when handling confidential information.
n
n nExperience with accounting, bookkeeping, compliance, insurance administration, business registrations, licensing, or working with governmental agencies is a plus.
nExperience with multi-state business operations or client prequalification systems is also helpful.
