Job description
GENERAL DESCRIPTION: HIM Front Desk: first responder to incoming phone calls; Logs and tracks medical records coming into the department; performs quality review on imported documents to EHR, retrieves and releases medical records in responses to internal/external requests for records. Performs other duties of the position as delineated in the competencies.KNOWLEDGE, SKILLS AND ABILITIES:Knowledge of federal and state laws governing confidentiality of substance abuse medical records preferredAbility to make decisions regarding release of information in accordance with the law in complex circumstances.Ability to effectively communicate with all internal and external customers, including, but not limited to, attorneys, the courts, law enforcement and investigators, funders, insurance companies, etceteraComputer literate: MS Word application (minimum) and able to adapt to e-systemsAbility to effectively prioritize multiple tasksKnowledge of principles of health information managementAbility to meet benchmark goals in all areas of measured taskAbility to make appropriate independent decisionsESSENTIAL JOB FUNCTIONS:Communication:Answers phone in timely mannerAddresses all internal and external customers with respect and courtesyMaintains confidentiality of medical records according to established policies, procedures, and Confidentiality AgreementIdentifies need for operational supplies and inputs data in Vendor e-systemFile Room:Accurately files and retrieves recordsUtilizes out guides according to Established procedurePurges file room and accurately logs records for internal & external storageIncoming/Outgoing Client Record:Logs all incoming client records in Avatar Chart LocatorEffectively utilizes Avatar and other System applications and reports systems problems to IT–as neededInternal RequestsDemonstrates timely response to internal requests for records and copiesRecords based on HIPAA “minimum necessary requirements.”Release of InformationValidates authorization forms accurately, processes request for client information within appropriate/legal timeframeExchanges client information to external requesters only as necessary and with client authorizations, or as otherwise permitted by lawRetrieves appropriate information according to client authorization for release of information and provides customers with legible copies in accordance with 42 CFR, Part 2Logs all request for client information in the ROI database in a timely mannerValidates and processes request according to 42 CFR Part 2; effectively communicates with the requestor, client and programs as necessary to Meet all customer needsTransmit electronic records with encryption methodQuality Review (QR)Reviews all scanned incoming records with accuracyCorrect images, dates, ID numbers, and document types in accordance with policies and proceduresEffectively catalogs records into correct document types per department policiesCommunicates with Lead and other Management staff on corrections and processEDUCATION & EXPERIENCEAssociate degree in HIM (preferred)One year experience in an HIM department for a HIM Specialist ITwo years experience in an HIM department for HIM Specialist II,Three years experience in an HIM department for HIM Specialist IIIManagerial experience together with other significant transferable skills.A comparable amount of training, education or experience may be substituted for the above minimum qualificationsSPECIAL REQUIREMENTS:Must pass a level II background check and drug screenValid driver's license or ID card requiredMust maintain current training as required by Operation PAR, Inc. policiesWe are an equal opportunity employer and all qualified applicants will receive consideration for employment without regard to race, color, religion, sex, sexual orientation, gender identity, national origin, disability status, or protected veteran status.Florida’s Care Provider Background Screening Clearinghouse helps ensure that caregivers, health workers, and educators meet Level 2 background screening standards before they can work with children, seniors, or other vulnerable groups.
