HR & Payroll Administrator (remote)

Full Time Human Services Research Institute, Cambridge, MA, US

Human Services Research Institute (HSRI) is seeking a full-time HR & Payroll Administrator. This role is responsible for supporting the Human Resources and Finance departments by ensuring compliance with multi-state employment regulations, payroll tax requirements, and labor laws. This role manages state employer registrations, payroll tax compliance, employee payroll administration, and payroll processing support while maintaining accurate employee records and ensuring adherence to federal, state, and local employment regulations. This position assists with special projects related to HR operations, compliance, and payroll process improvements.

What We’re Looking For

We are looking for an individual to support day-to-day HR and payroll operations. This role offers an opportunity to contribute to well‑organized, compliant, and employee‑centered HR and payroll practices across the organization.

Responsibilities

Support HR and payroll compliance with federal, state, and local payroll tax regulations affecting multistate employees

Manage employer registrations for new states and local tax jurisdictions

Support payroll processing by reviewing employee data, payroll changes, timecard submissions, and payroll documentation

Coordinate with payroll providers and government agencies regarding tax notices, account updates, and compliance matters

Support HR operational functions, including benefits administration, employee records, and HR systems

Support annual compliance reporting and required government filings

Assist with updates to policies and procedures based on regulatory changes

Document standard operating procedures related to HR and payroll compliance

Perform other HR- and payroll-related duties as assigned

Minimum Qualifications

Associate or bachelor’s degree in human resources, business administration, accounting, finance, or a related field preferred

Minimum of 3–5 years of experience in payroll administration, HR operations, or employment compliance

Experience processing payroll for employees working in multiple states

Knowledge of federal, state, and local employment laws and payroll tax regulations

Experience managing state employer registrations and payroll tax accounts

Working knowledge of wage and hour laws, FLSA, state leave laws, and employment compliance requirements

Experience with HRIS and payroll systems such as ADP, Paylocity, UKG, Paycom, Paychex, Workday, or similar platforms

Strong proficiency in Microsoft Excel and Microsoft Office Suite

Excellent organizational skills with strong attention to detail

Ability to prioritize multiple deadlines in a fast‑paced environment

Strong analytical and problem‑solving skills

Excellent written and verbal communication skills

Ability to maintain strict confidentiality and exercise sound judgment

Desired Qualifications

Experience supporting organizations with employees in multiple states

Experience implementing or improving payroll and HR processes

Location

This is a remote position with an option to work from our Cambridge, MA, office, which is accessible by public transportation. HSRI does not permit remote work arrangements based in the U.S. Virgin Islands, Puerto Rico, and outside the United States. Must have unrestricted authorization to work for any employer in the U.S. We are unable to sponsor or take over sponsorship of an employment visa.

Hours

Full-time, Monday-Friday, 40 hours per week

This position allows flexibility in core hours

Salary Range

$57,200- $75,000

Pay is commensurate with skills and experience.
