Program AssistantPosition Title: Program AssistantLocation: Hogan Cedars ElementaryReports To: Program CoordinatorDept/Program: Community Schools FTE: (40 hours/week)Limited Duration: October 2026-September 2027Status: Non-ExemptCreated: October 2026 Job Number: HCPA1001This position is a limited duration position which will begin in October of 2026 and will end on or before September 30, 2027. This position will offer benefits including medical/dental, PTO and holiday pay. Benefits are available the first of the month following 30 days of employment.ValuesWe use creative and proactive problem solving to build and sustain dynamic community-based programs and quality services.We believe in the potential of families and individuals at all life stages and focus on prevention, wellness, and independence.We build strong relationships by collaborating with our funders, partners, and highly trained volunteers, always striving for an extensive commitment to diversity.General FunctionUnder the general supervision of the Program Coordinator, the Program Assistant provides direct program administrative support to the School Communities Program Coordinator at Hogan Cedars Elementary School.Essential Duties and ResponsibilitiesDiversityValues working in a multi-cultural, diverse environmentValues and supports inclusion and program access for clientsSupports agency goals for enhancing diversity within department areasCollaborationAbility to work effectively in collaboration within all departments of MFS as well as other agencies, and within MFS program areasAbility and commitment to work effectively within a team-dependent environmentAbility to work and communicate effectively with a broad range of individuals and groupsTeamworkAbility to work independently and to collaborate with other MFS staff and volunteers to model effective teamwork skillsAdministrative ResponsibilitiesProvide support for activity leader staff, volunteers, and students participating in the SUN after school programFacilitate outreach and recruitment of students, parents, and community members to increase participation, volunteerism, and involvement in SUN activitiesProvide translation and language support if fluent in Spanish/EnglishAssist with the outreach and recruitment of community organizations and resources to support family health and social service needsAssist in the planning and coordination of family and community eventsSupport evening classes for parentsCoordinate participant registration, data collection, documentation, filing and database maintenance in accordance with the program's needsProvide data and written reports as requiredComply with Hogan Cedars Elementary District policies and proceduresAttend supervision meetings with Program CoordinatorComply with Metropolitan Family Service policies and procedures as outlined in the Employee HandbookEffectively and consistently market the organization, communicating about MFS and its programs in a way that is both compelling and on message. Follow marketing guidelines in place when communicating with staff, volunteers, clients, partners, and potential supportersOther duties as assigned by Program CoordinatorKnowledge, Skills and Abilities Required:Demonstrated competency in using Word, Excel and various database programsAbility to work independently with minimal supervisionAbility to establish and maintain positive relationships with staff, youth, parents, and community membersPossess strong verbal and written communication skillsAbility to proactively problem-solve and resolve conflictAbility to maintain professional boundaries and confidentialityAbility to manage multiple projects simultaneouslyPossesses excellent time management and strong administrative and organizational skillsAbility to effectively manage and maintain confidential and sensitive informationAbility to recognize and manage critical incidents within programs and mandatory reporting regulations and responsibilitiesAbility and commitment to continuous quality improvements and innovation of programEducation and Experience Requirements:Minimum of a high school diploma or GED, BA or BS preferred or equivalent related experienceExperience working in school based academic enrichment, recreation or social services programming is preferredFluency in Spanish (read, write and speak) is preferredDemonstrated experience in supporting administrative functionsExperience navigating Grouptrail is strongly preferredOther Requirements:Personal transportation allowing for travel within the Portland Metropolitan area in a timely manner. If driving a personal vehicle must maintain a valid driver license for the state of residency, personal auto liability insurance coverage and a driving record permitting coverage under the agency auto liability policy.MFS requires all employees and volunteers to complete a criminal background check. We review the results of all background checks individually and consider all of the circumstances of any issues that arise in a background check during the hiring process.Work is normally performed in an office environment and/or at other locations as deemed necessary. May require occasional early morning, weekend or evening work. Position requires ability to sit for extended periods as well as stand occasionally.
