Job description
Marketing Executive Assistant III
The Marketing Executive Assistant III provides high-level administrative support to the Marketing leadership team across four locations: West Hills, San Bernardino, Orange County, and West Covina. This position requires exceptional discretion, sound judgment, strong organizational skills, and the ability to make real-time decisions. The role maintains complex calendars, coordinates staff across multiple locations, and provides centralized administrative oversight to support leadership effectiveness, strategic priorities, and departmental operations.
Key Responsibilities
Provide administrative support for leadership, staff, and training activities.
Assist with the development and delivery of training as needed.
Maintain confidentiality and exercise discretion when handling sensitive information.
Prepare and track expense reports and payments as requested.
Create reports and present documentation in a consistent, professional manner.
Perform other duties as assigned by management.
Education & Experience
Minimum 2 years of Executive Assistant experience.
Excellent written and verbal communication, grammar, and organizational skills.
Advanced proficiency with Microsoft Office, including Word, Excel, PowerPoint, Access, Outlook, and Visio.
Ability to interact professionally with all levels of an organization.
Ability to work independently and collaboratively.
Professional attitude and demeanor.
Experience in medical group or IPA operations and information systems management preferred.
Experience with clinical applications preferred.
Customer service experience preferred.
Knowledge of IS operations and support across multiple operational functions preferred.
Experience and understanding of managed care and healthcare operations preferred.
Experience with MS Project preferred.
Compensation & Benefits
The anticipated starting pay range is $30–$35 per hour, depending on experience and other individualized factors, including market location, job-related knowledge, skills, licensure, and experience. The total compensation package may include a sign-on bonus, discretionary awards, and a comprehensive benefits package, including medical, financial, 401(k), vacation, sick time, and parental leave benefits, as applicable to the position.
