Job description

Mitigation Administrative AssistantSwift Restoration, LLC dba SERVPRO is seeking an experienced, detail-oriented Mitigation Administrative Assistant to join our growing restoration team. The ideal candidate will have prior experience working in the restoration, insurance, mitigation, or construction industry and understand the fast-paced nature of emergency services. This position plays a critical role in supporting our mitigation department by assisting with job documentation, estimates, customer communication, insurance programs, and Third-Party Administrator (TPA) requirements.Responsibilities include:Provide administrative support to the Mitigation Department, Project Managers, and EstimatorsAssist with creating, reviewing, and updating estimates and job documentation in XactimateUpload and maintain job documentation, photos, drying logs, estimates, invoices, and other required documentsWork within TPA and insurance carrier platforms, including Contractor Connection, Alacrity, and other similar programsMonitor job assignments and ensure required documentation is submitted within program deadlinesCommunicate with insurance adjusters, TPA representatives, customers, and internal team membersAssist with job file audits to ensure completeness and complianceTrack outstanding documentation, estimates, approvals, and invoicesEnter and maintain accurate job information in company software and TPA portalsAssist with scheduling and coordinating mitigation projects as neededFollow up on approvals, supplements, and outstanding itemsMaintain organized and accurate electronic job filesSupport the mitigation team with other administrative duties as assignedQualifications:Previous administrative experience in the restoration, mitigation, insurance, or construction industry preferredExperience using Xactimate is requiredExperience working with TPA programs, including Contractor Connection and Alacrity, is strongly preferredKnowledge of water, fire, mold, and other mitigation services preferredUnderstanding of insurance claims and restoration documentation is a plusStrong computer skills and ability to learn multiple software platformsExcellent organizational and time-management skillsAbility to manage multiple projects and deadlines in a fast-paced environmentStrong attention to detail and accuracyProfessional written and verbal communication skillsAbility to work independently while also functioning effectively as part of a teamWhat We Offer:Competitive pay based on experienceHealth and other benefitsPaid time offOpportunities for professional growth and advancementFast-paced and team-oriented work environmentExperience:Xactimate: RequiredRestoration/Mitigation Administration: PreferredContractor Connection: PreferredAlacrity: PreferredInsurance Claims or TPA Programs: PreferredWe are looking for a motivated and experienced administrative professional who understands the restoration industry and can help keep our mitigation projects organized, compliant, and moving forward efficiently.
