Athletics Program Assistant ~ Garden City Middle SchoolThe Middle School Athletic Event Coordinator supports the successful operation of the District's middle school athletic program by providing on-site coordination and oversight at home athletic events. The position serves as a liaison among the District Athletic Coordinator, building administration, coaches, officials, students, and families to help ensure athletic events are safe, organized, and appropriately supervised.In addition to home event responsibilities, the Coordinator supports student participation in athletics by assisting with eligibility communication, athletic physical documentation, uniform inventory, and promotion of athletic opportunities to middle school students.Essential duties and responsibilities include:Attend all assigned middle school home athletic events, approximately 28–30 events per school year.Arrive with sufficient time before each event to ensure the facility and necessary equipment are properly set up and ready for competition.Confirm that necessary athletic equipment and event materials are available and appropriately placed.Verify that scheduled officials/referees are present and communicate any concerns or absences to the District Athletic Coordinator and/or building administration.Along with building administration, provide general oversight of athletic events, including student and spectator areas, to support a safe, orderly, and positive environment.Assist with addressing event-related concerns; communicate issues requiring administrative attention to the appropriate building administrator or District Athletic Coordinator.Serve as an on-site District point of contact for officials, coaches, visiting teams, students, and spectators as appropriate.Assist with ensuring facilities and equipment are appropriately secured following events.Serve as a liaison between student-athletes, coaches, and the middle school office regarding academic eligibility.Work with appropriate school personnel to confirm student eligibility in accordance with District requirements.Communicate eligibility information to coaches and/or the District Athletic Coordinator as appropriate while maintaining student confidentiality.Assist students in understanding requirements necessary to participate in middle school athletics.Visit middle school lunch periods approximately once per month to promote upcoming athletic seasons and participation opportunities.Share information with students regarding athletic sign-ups, deadlines, physical requirements, tryouts, and other participation requirements.Encourage student involvement in athletics and help connect interested students with the appropriate coach or athletic personnel.Coordinate and maintain student athletic physical documentation in accordance with District and applicable athletic participation requirements.Monitor physical documentation to help ensure student-athletes have the required documentation on file before participating.Communicate with students, families, coaches, and appropriate school personnel regarding missing or incomplete athletic physical documentation.Maintain organized and confidential records consistent with District procedures.Maintain an accurate inventory of middle school athletic uniforms.Coordinate the distribution and collection of uniforms as needed.Track missing, damaged, or unreturned uniforms and communicate concerns to the District Athletic Coordinator.Assist with identifying uniform and equipment needs for upcoming athletic seasons.Maintain organized storage of uniforms and related athletic materials.Qualifications include:High school diploma or equivalent required.Experience working with middle school-aged students preferred.Experience with school athletics, coaching, recreation programs, event management, or student activities preferred.Strong organizational and communication skills.Ability to interact professionally and positively with students, families, coaches, officials, spectators, and District staff.Ability to exercise sound judgment and respond appropriately to concerns that arise during athletic events.Ability to maintain confidentiality regarding student information, including academic eligibility.Ability to work independently while maintaining regular communication with the District Athletic Coordinator and building administration.Availability to work after-school and evening hours throughout the middle school athletic seasons.This position is authorized for up to 200 hours per school year. The schedule will vary based on the middle school athletic calendar and program needs. The position is expected to provide coverage for approximately 28–30 home athletic events each school year, with most event responsibilities occurring between 3:00 p.m. and 7:00 p.m.Additional hours may include monthly lunch-period visits, coordination of student eligibility and physical documentation, uniform inventory and management, and other duties directly related to the operation of the middle school athletic program.The Middle School Athletic Event Coordinator is expected to promote good sportsmanship, student participation, safety, and a positive experience for student-athletes and spectators.
