Office AdministratorFounded in 2020, AMERI-CANS is a fast-growing, veteran-owned enterprise built by Marine Corps veterans who know firsthand the critical importance of field sanitation. Headquartered in Manassas Park, VA the Company's growth has expanded beyond the DMV area and now includes Indiana, South Carolina and Ohio. We are constantly looking for Veterans in pursuit of their post-service ambitions and talented individuals with an unwavering desire to succeed and grow with us.Reporting directly to the Chief of Staff, the Office Administrator plays a vital role in ensuring smooth daily operations and overall organizational efficiency. The ideal candidate is highly organized, proactive, and experienced in facilities management, with the ability to multitask in a fast-paced environment. This position combines administrative, operational, and customer service responsibilities, requiring exceptional discretion, problem-solving skills, and attention to detail. Key duties include monitoring and maintaining office supply inventory, answering incoming calls, and managing both electronic and paper records. By providing reliable support and fostering efficient workflows, the Office Administrator contributes directly to the company's success.Job Duties and Responsibilities: (Essential Job Duties) Common activities listed below: actual position responsibilities may vary.Processes and prepares time sensitive documents, such as business, regulatory or government reporting and permitting items. Do so without the need for constant oversight.Assist Operations and Human Resources by maintaining equipment and personnel manifests as necessary in support of business operations/special projects and regulatory, tax and DMV reporting.Overseeing office supplies stock, ordering, and organization.Planning and organizing company events, meetings, conferences, as well as travel arrangements.Organize, store and maintain company records and files (both paper and digital).Maintaining a high degree of discretion and confidentiality.Key point of contact / "go to" person when "something" just needs to get done.Assist owners that may include scheduling appointments, running errands.Ensure timely processing of data to meet deadlines and organizational needs as requested.Provide a proactive and caring demeanor, fostering a positive work environment for all employees.Provide occasional administrative support to other executives as needed.Essential Functions:Proven experience in office administration, executive assistance, or related roles.Exceptional organizational skills and the ability to manage multiple priorities effectively.Proficiency in office tools and software, including Microsoft Office Suite and project management platforms.Excellent verbal and written communication skills to foster collaborationA strong proactive mindsetAbility to adapt to changing priorities while maintainingExceptional attention to detailCommunication and interpersonal skillsAbility to work in a fast-paced environmentAbility to handle sensitive information with discretion/confidentiality.Proficiency in Microsoft Office and office equipment skills (as well as a demonstrated ability to quickly learn new technology in support of business operations).Reliable office attendance is a must.Ability to conduct research and create reports or presentations.Time management.Ability to learn quickly.*Spanish speaking is a plus but not necessaryEducation:High school diploma or equivalent required; Associate or Bachelor's degree in a related field preferredStrong organizational and interpersonal skills.Demonstrated reliability and ability to work both independently and in a team setting.Resourcefulness and ability to quickly learn new processes and systems.Any combination of education and experience that demonstrates the required skills and knowledge for successful performance.Schedule:Performance of work requires attendance from 7:00 a.m. - 4:00 p.m. (or as agreed upon) on normal business days.Work Location: In personAbilities:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
