Office CoordinatorLocation: Graniteville, VTEmployment type: Hourly, full-timeSchedule: Monday-Friday, 7:00 a.m.-4:00 p.m., with a one-hour unpaid lunchCompensation: $20.00-$28.00 per hour, depending on experienceRock of Ages, a division of the Polycor Group, is seeking a full-time Office Coordinator to join our team in Graniteville, VT. The Office Coordinator is a key cross-functional support position responsible for helping maintain the efficient day-to-day operation of the office while providing administrative and operational support across the organization.The role serves as a central resource for employees, customers and outside service providers, with responsibility for office coordination, shipping and logistics, reception, filing and recordkeeping, proofreading and quality review, and order and production-related administrative activities.Because this position supports multiple departments throughout the workday, consistent on-site coverage during established working hours is an essential function of the role. The 7:00 a.m.-4:00 p.m. schedule aligns with the primary operating hours of Production, Drafting and other key departments and ensures support is available during peak business activity.Key Roles and Responsibilities:Coordinate day-to-day office administration, including primary telephone reception, filing and recordkeeping, office equipment, supplies, breakroom needs and general office organization.Coordinate outgoing UPS, USPS and LTL shipments, including packaging, postage, customer samples, documentation, tracking and shipping supplies.Support the flow of customer orders through Drafting and Production by maintaining and updating order information, coordinating order and redraw assignments, processing approved drawings and maintaining accurate system records.Assign applicable costs and invoices to orders and make required intercompany value adjustments.Coordinate information and administrative activities between Sales, Drafting, Production and other departments to help ensure customer and business needs are handled accurately and efficiently.Provide administrative and operational support across departments as needed to maintain efficient day-to-day business operations.Coordinate outside vendors and service providers supporting the office and grounds, including cleaning, seasonal maintenance, landscaping and other facility-related services.Provide proofreading and quality review support across the organization to help ensure business communications, contracts, memos, marketing materials and other written content are accurate, clear and professional.Assist with special projects and other related duties as assigned.Ideal Candidate Profile:Strong organizational and time-management skills with the ability to manage multiple priorities and interruptions.Excellent attention to detail, proofreading skills and command of written communication.Professional verbal communication, customer-service skills and telephone presence.Ability to work effectively with customers, vendors and employees across multiple departments.Comfort learning and working within business, order-processing, shipping and production systems.Ability to work independently, take ownership of responsibilities and demonstrate consistent follow-through.Dependable and able to provide consistent on-site support during established working hours.Career Development:This position provides broad exposure to the company's customers, products, systems and order-to-production processes.
