This position may perform activities in an environment that contains hazardous elements and requires safety awareness and adherence to all safety policies and guidelines. Work must be performed in a safe manner for personal protection and for the protection of other team members. All safety procedures, procedures described in SOPs, BPRs, and support the compliance of applicable ISO standards in all functional areas must be followed, enforced, and complied with.PHYSICAL REQUIREMENTS:Position requires the ability to sit for 3-6 hours per dayStand, walk, bend over, and reach above head less than an hour a dayLifting or carrying a minimum of fifty poundsEye/hand coordination and repetitive use of hands/arms for writing and computer workResponsibilities• Coordination and SupportSchedule and coordinate with external vendors and suppliers to ensure efficient office operationsReport general maintenance needs and manage completenessOrder and maintain office suppliesManage purchase orders by confirming accuracy and forwarding to accounting for processingDistribute mail accordingly and process shipping for FedEx and/or UPSAssist with the coordination of conference calls, meeting planning, and assist with meeting room reservationsCoordinate travel and hotel arrangements for guests and managers, as requestedMaintain visitor control by screening and admitting guests pursuant to the Visitor Control PolicyPlan, coordinate, and facilitate ordering of meals for business meetings and other office functionsSchedule, coordinate, and facilitate monthly meetings as requestedIn collaboration with appropriate departments, manage building improvement projects for the business officeCoordinate training on office procedures for new and existing business office employeesIn collaboration with plant HR and the Communications department, create, post, and manage content for the digital message boards• Specialty and Personal CareMaintain suitable inventory based on shelf life and local demands by auditing inventory and ordering from necessary suppliers for the Specialty & Personal Care divisionCoordinate and ship SPC samples to North American and Canada customers via UPS and/or FedExOrganize and maintain samples• OtherPerforms other job-related duties and responsibilities as assignedEEO StatementAjinomoto is an Equal Opportunity Employer and does not discriminate on the basis of race, religion, color, sex, age, physical or mental disability, national origin, veteran status or any other basis protected by state, federal, or local law.
