Our services are specifically tailored for property managers, Homeowner Associations (HOAs), apartment buildings, and multi-residential communities across Maryland, Washington, D.C., Virginia, and Florida.
Job Scope
This position serves as an important & critical bridge point between senior management, service coordinators, field technicians, vendors, and customers across our Maryland, Virginia, and Florida operations.
Oversee centralized administrative support for our service managers, operational functions of service departments & the support unit in our multi-office, multi-state service operations.
Support management with customer service, work order & PO management, invoices, permit and inspections, Miss U ticket management, estimates & data entry.
Works closely with senior management to develop, maintain, and continuously improve FSM (Field Service Management) software, SaaS platforms, system workflows, data mapping and management, program manuals, policies, and procedural standards.
Helps identify opportunities to utilize technology, automation, and AI tools to improve service administration and operational efficiency.
Qualifications
Experience in commercial electrical, HVAC, mechanical, facilities, fire/life-safety, or another field-service environment is highly desirable.
BA/BS degree in business administration, Accounting, Operations Management, or a related field preferred; equivalent professional experience will be considered.
5+ years of experience with FSM (Field Service Management) SaaS platforms, such as ServiceTrade or ServiceTitan, strongly preferred.
Strong working knowledge of Microsoft Office 365, particularly Excel, is required. Dispatch, scheduling, and work-order management experience strongly preferred.
Experience supervising service coordinators, dispatchers, or administrative personnel.
Strong understanding of service billing, invoicing, purchase orders, accounts receivable, and related administrative processes such as Payroll and PTO.
Demonstrated ability to analyze operational data, identify problems, and improve processes.
Strong organizational skills with the ability to prioritize multiple competing demands in a fast-paced service environment.
Strong problem-solving and decision‑making abilities. Excellent written and verbal communication skills.
