Office ManagerSan Antonio, TXJob Summary: In this role, you will oversee day-to-day office operations while managing key accounts receivable, billing, collections, payroll, HR, and administrative functions that support the branch. The Office Manager works closely with branch leadership, sales, corporate accounting, payroll, and Human Resources and plays an important role in keeping financial records accurate, customer accounts current, employee documentation complete, and office operations running efficiently.Pay & Details: Pay range: 28.00–36.00 per hour DOE Schedule: Full-time, Monday–Friday, daytime office hours Location: On-site in San Antonio, TX Employment Type: Direct Hire Benefits: Benefits package offered by the employerJob Duties: Manage accounts receivable and customer billing, including invoice entry, AIA/customer pay applications, payment posting, and supporting documentation. Perform daily cash reconciliation by processing checks, cash and credit card payments, preparing deposits, balancing transactions, and maintaining accurate financial records. Conduct collection activities by reviewing aging reports, contacting customers regarding outstanding balances, documenting collection activity, and coordinating with branch management and sales personnel. Maintain complete job, contract, customer, and financial files, including contracts, purchase orders, credit approvals, change orders, preliminary notices, lien releases, billing records, and related documentation. Support payroll and HR administration by collecting approved timecards, preparing certified payroll documentation, coordinating new-hire onboarding and safety training, and assisting with employee records and benefits-related processes. Coordinate branch administrative processes including new job setup, customer account creation, petty cash reconciliation, invoice approvals, inventory reporting, subcontractor paperwork, office supplies, mail, phones, and office equipment. Ensure required paperwork, financial documentation, payroll records, and corporate reports are completed accurately and submitted within established deadlines.Requirements: Required: Must be authorized to work in the United States Must be able to reliably commute to work Must be able to successfully pass pre-employment screening requirements, which may include a criminal background check and drug test Experience with accounts receivable, billing, cash reconciliation, and collections Strong administrative and organizational skills with the ability to manage multiple priorities and deadlines Ability to accurately maintain financial, customer, employee, and contract documentation Comfortable working with accounting or business management software, spreadsheets, email, and standard office systems Strong written and verbal communication skills with the ability to work effectively with customers, employees, management, sales teams, and corporate departments Ability to handle confidential financial and employee information professionally Preferred: Previous Office Manager, Branch Administrator, Accounting Administrator, or similar office operations experience Experience with AIA billing/pay applications, certified payroll, construction contracts, lien releases, or subcontractor documentation Experience supporting employee onboarding, payroll, or general HR administrationWhy You'll Like Working As An Office Manager: Direct-hire opportunity with competitive pay of 28.00–36.00 per hour DOE Monday–Friday daytime schedule with no rotating shifts Opportunity to take ownership of a broad office management role involving accounting, operations, payroll, HR, and branch administration
