In NC, we operate three pharmaceutical manufacturing facilities that are responsible for fulfilling different steps in our injectable and oral treatment supply chains. Our newer Active Pharmaceutical Ingredients (API) facility in Clayton, NC sits on 825,000 square-feet of state-of-the-art equipment, and houses the Fermentation, Recovery and Purification in the production of ingredients for Novo Nordisk's innovative oral products. Assist the Director and/or Department Leadership Team in document controlling, scheduling, meeting logistics, travel coordination, presentation development, & KPI tracking, etc.RelationshipsReports to Director, Vice President.Essential FunctionsProvide administrative support to the Department Leadership Team including but not limited to preparing agendas and minutes and managing their calendarsReconcile expenses and ensure expense reports are completed in a timely mannerPlan off site events, workshops, team buildings events, parties and holiday gatherings etc. for the departmentWork with external food vendor to ensure catering is provided for events where applicableAssist in managing the department's SharePoint pageActively participate in peer-to-peer mentorship with other Operations AssistantsSupport with production documentation creation & distribution where applicableManage administrative projects to ensure they are completed properly and in a timely mannerLead Good Housekeeping in administrative areasPrepare board meetings and various presentations on behalf of the department and lead the preparation of management and department meetingsAttend admin meetings and cross functional tasks and collaborationHandle inquiries and requests from internal and external parties in a professional and timely mannerOversee office supplies, equipment and facilities to ensure day-to-day operations run efficiently, while continuously improving processes using cLEAN toolsFollow all safety & environmental requirements in the performance of dutiesOther duties as assignedPhysical RequirementsAbility to work in an open office environment with the possibility of frequent distraction. Ability to travel up to 10% of the time (% can change on a case-by-case basis based on the role).QualificationsHigh School Diploma or equivalent requiredAssociate's Degree in Business, Office Administration, or relevant field of study from an accredited university preferredMinimum of two (2) years of experience as an Administrative Assistant or Production Coordinator requiredAbility to read, write and understand complicated production & GMP documentation a plusDemonstrated proficiency in Microsoft applications (Word, Excel, Access, PowerPoint, Outlook, etc.) requiredWritten & verbal communication skills to allow interaction will all levels of operations & management preferredAbility to organize GMP related documentation with exceptional attention to detail a plusDemonstrated ability to anticipate project needs to ensure all required assistance, support systems, & documentation is available preferredWe commit to an inclusive recruitment process and equality of opportunity for all our job applicants.
