Part-Time Administrative AssistantThe Physical Therapy Program is actively seeking a part-time Administrative Assistant to provide administrative and operational support three days per week. This position will assist the Chair and Director with the administrative coordination and smooth functioning of the program while providing excellent administrative support to faculty, staff, and students.ResponsibilitiesResponsibilities include but are not limited to:Answer phone, respond to emails, schedule appointments and meetings, file, and prepare correspondence for the Director and ChairAssist faculty by answering questions, locating information and materials, typing, collating, photocopying, and assisting with other documents as requiredMaintain office files and records, both physical and digitalComplete purchasing requisitions, check requests, and other forms and coordinate with Purchasing to add new vendors as neededEnter names and emails into the security system for eventsProcess reimbursements for faculty expenses and for approved student expensesSubmit room reservation requests for events outside of the regularly scheduled semester events and classesUnpack packages and store in office supply or equipment closet as appropriateKeep the Doctor of Physical Therapy (DPT) Program's hub on Canvas updated with the latest schedules and booklistsDistribute and collect course assessments for teaching assistants and guest speakersCoordinate the peer evaluation process with the facultyCommunicate with registrar regarding student registration, graduation, leave of absence, etc as neededIn conjunction with the full-time administrative assistants, assist with the planning, set up, and break down of department functions including room requests, overseeing room set up and logistics, and food ordering, delivery, and removalAssist at graduation and special eventsOrganize schedule of proctors for all semester examsAssist in the proctoring of exams, as neededAssist full-time administrative assistants with onboarding and processing of payments for adjuncts and lab assistants, as delegated by the DirectorOther duties as assignedQualificationsEducation/ExperienceMinimum one year experience as an Administrative Assistant or related experience. College degree (AAS or BS) preferred.Knowledge/Skills/AbilitiesGeneral Administrative Duties.Proficiency in Microsoft Office Suite including Word, Excel, Power Point, Outlook.Accuracy and productivity in completing tasks.Demonstrated ability to develop positive and cooperative relationships with students, faculty and colleagues.Demonstrated proficiency in communication (written and verbal).Strong interpersonal skills, both written and oral.Ability to manage multiple and varied tasks.Ability to independently anticipate and take initiative on recurring tasks and responsibilities that occur regularly at certain times of the year (ex: in preparation for an upcoming semester or for graduation etc.).Ability to work collaboratively and effectively with colleagues in a team environment.Ability to learn and effectively navigate multiple software systems for purchasing, generating personnel forms, and other administrative functions.TravelTravel may be required infrequently for special events (i.e. graduation, etc.).Working ConditionsExtensive time sitting and working at a computer. Occasional lifting (up to 15 lbs) for some packages or equipment.Maximum SalaryUSD $26.00/Hr.Minimum SalaryUSD $21.00/Hr.
