Job description

We are seeking an experienced association management professional to work with internal team members and external volunteers to create and implement standard processes, maintain records, and track progress against modernization plans. The Committee Coordinator should demonstrate high levels of organization and have experience working with and managing volunteers. Experience working with non-profit/association organizations and success supporting a diverse roster of subject matter experts is critical. This position supports the Committee chairs and related programs by providing structured operations, governance, communication, and data management support.

The Committee Coordinator will be responsible to ensure smooth, compliant, and consistent operations for the Association’s Committees, with particular priority given to the two specific committees and their related programs. This role supports the Association’s senior staff and volunteer leaders to manage committee workflows, and coordinate communication, documentation, and follow-up across multiple workstreams (legal/governance, technology, curriculum, school and chapter relations, and marketing/engagement).

Key Responsibilities

Support operational modernization of all committees, including digitization of records, configuration of databases/AMS or credential management platforms, and implementation of automated workflows (applications, approvals, renewals, exam or credential processes, chapter and membership updates).

Serve as primary staff liaison to one committee, and secondary staff liaison to other committees, as assigned, to handle various activities, including coordinating meetings, preparing agendas and materials, documenting minutes, and tracking action items and follow-up.

Coordinate communications on behalf of the committees, including web content updates, ensuring full communication with Board and staff liaisons, and updating committee rosters.

Assist with risk management by ensuring required forms, MOUs, and policies are consistently used, stored, and tracked, and by escalating issues or exceptions to appropriate staff and volunteer leaders.

Provide responsive, professional customer service to schools, chapters, advisors, students, volunteers, and other stakeholders, resolving routine issues and routing complex matters appropriately.

Attend/participate in committee meetings (may require frequent evening Zoom meetings).

Coordinate committee work related to legal and governance deliverables, such as charters, policies and procedures, MOUs, job descriptions, and advisor/school/chapter documents, working closely with Senior staff and volunteer leaders.

Manage routine administrative processes for approved schools and student chapters, including intake and tracking of applications, renewals, status changes, cord/recognition requests, and routine inquiries.

Maintain accurate, organized digital records for schools, chapters, credential holders, exam-takers, and students, and generate basic reports on volume, status, timelines, and key metrics (e.G., renewals, participation, exam/credential activity, student conversion).

Support committee-led program initiatives such as curriculum and exam updates, recognition programs, mentor programs, scholarships, and stakeholder engagement activities by managing logistics, timelines, and documentation.

Qualifications

Bachelor’s degree or equivalent experience in nonprofit administration, education, association management, or a related field.

At least three (3) years of experience in program, committee, or membership coordination within a nonprofit, association, higher education, or credentialing environment.

Demonstrated experience managing complex administrative workflows, multiple stakeholders, and detailed documentation or compliance-related processes.

Proficiency with databases, AMS/CRM or credentialing platforms, and digital document management;

comfort learning new systems and supporting others in basic use.

Strong written and verbal communication skills, including experience preparing agendas, minutes, summaries, and clear stakeholder communications.

High attention to detail, ability to manage multiple concurrent tasks and deadlines, and commitment to accuracy and data integrity.

Customer service orientation and ability to work effectively with volunteers, educators, students, and external partners.

Intermediate skills level in Microsoft Excel, PowerPoint, and Word.

Should be articulate, organized, efficient, detail-oriented, have an excellent work ethic and the ability to work independently as well as on a team.

Part-time position – average of 20 hours per week.

Salary : $31-$33 per hour
