Job description

This is a remote position.

Patient Care Operator (Scheduling, Patient Calls & Systems)

Remote | Philippines | Part-Time,5-6hrs/day

$6-8 USD/hr or Php37-49k/mo

3:00am–8:00am PHT (11:30am–4:30pm / 12pm–5pm, aligned to US Nevada time)

If you’re a high-performing operations professional who thrives on building systems from scratch, taking full ownership of patient coordination, and working with a leading US-based mobile medical practice that values strategic execution over simple task execution — keep reading.

This isn’t a role for an "assistant" waiting for daily instructions or a "manager" with a team to delegate to.

This is a focused, outcome-driven position where you’ll act as the single accountable operator running the business side of the practice, building the operational engine from day one, and delivering warm, exceptional patient care on every call.

Why This Is a Dream Job

You’ll be working directly with a prestigious USA-based Mobile Nurse-Practitioner Practice who:

Champions Innovation:Operates a future-of-work, fast-scaling healthcare model that prioritizes setting up new operating systems, automated workflows, and dedicated scheduling platforms.

Values Your Growth:Provides access to elite peers, onboarding support, and a dedicated Remote Workmate Success Manager (CSM/Paula) for professional coaching and performance oversight.

Respects Your Expertise:Consolidates back-office ownership into your hands, focusing on "dream outcomes" and operational clarity rather than micromanaged task lists.

Builds Stability:Has a long history of working with Filipino professionals and is looking for a long-term team extension, offering paid onboarding and scaling to a full-time role within 90 days.

You’ll get career transformation, high-level visibility, and the freedom to lead practice operations — without being stuck in a basic "virtual assistant" rut.

What You’ll Be Owning This is a core operational leadership role covering patient intake, route-based scheduling, SOP creation, and process improvement. You aren't just taking messages; you are building the entire back-office infrastructure—mastering phone engagement, Google Workspace, RingCentral, and data organization to power a 3,000-patient mobile practice.

You’ll take the lead on:

Day-to-Day Operations & Phone Care (~45%):Owning all inbound/outbound calls (RingCentral) with elderly patients, managing route/zip-code scheduling, handling patient intake, and maintaining flawless patient records.

Systems Building & SOP Creation (Weeks 1–12, ~35%):Auditing existing workflows, rebuilding the master patient sheet, standardizing triaging rules, writing SOPs, and leading the transition to a dedicated scheduling platform.

Continuous Improvement & Scaling (~20%):Tracking key practice metrics, flagging operational bottlenecks, and creating the onboarding framework for future practice growth and secondary clinician additions.

Inbox Triage & Reporting:Managing email flow with custom templates and delivering concise daily/weekly summaries directly to the practice owner.

Requirements

Requirements

This Role Is a Great Fit If You:

Are an Operational Architect:You have 3+ years running front-office or operations for a medical, dental, or allied-health practice (or similar ops role) where you built systems rather than just following them.

Are Built for the 3:00 AM Shift:You have proven experience working US business hours/graveyard shifts and are fully committed to this exact schedule.

Are Sassy, Warm, and Patient on the Phone:Personality is a requirement—you offer patience, humor, and banter (never a rigid script) to elderly callers, some with cognitive conditions.

Are Bilingual (Spanish/English):Strongly preferred to support Spanish-speaking patient communications.

Are High-Accountability:You don't need to be chased for updates. You take initiative, meet deadlines, fix operational gaps independently, and own your outcomes.

Communicate with elite fluencyand professional confidence, detail-obsessed to prevent route/scheduling errors.

What Success Looks Like

After 60–90 Days:

Operations are Fully Owned:You have taken 100% ownership of the phone lines, intake, and scheduling; the clinician no longer touches back-office admin.

The System is Fortified:You have rebuilt the master patient sheet, authored standard SOPs for all recurring tasks, and established a structured inbox triage system.

Impact & Performance are Measured:Referral turnaround and no-show rates are down, weekly reports are running, and the new scheduling system is fully live.

Trust is Earned:You are the go-to operational backbone, prompting the role to successfully transition to full-time status.
