JOB STATUS: Full-Time, Salaried
LOCATION: Lancaster / Lititz, PA
HOURS: Rotation of shifts including days, evenings/nights, weekends, and holiday
REPORTS TO: Flight Operations Manager
GENERAL DESCRIPTION:
The Flight Coordinator is responsible for generating and responding to air charter inquiries quickly and accurately by creating quotes, scheduling trips, and coordinating logistics for owners, clients, and flight crew. This is not a 9 – 5 job. You will have office hours and the ability to work from home and on the go as part of team coverage of a 24 hours a day, 7 days a week, 365 days a year operation. This role requires motivation, dedication, high energy, and a "can do" attitude.
JOB RESPONSIBILITIES:
1. Charter Sales
Build relationships with retail clients, brokers, owners, vendors, and crew.
Develop an expert knowledge of our fleet of aircraft, other aircraft in the charter market, and Federal Aviation Regulations for part 135 and 91 operations.
Gather all trip information from clients, brokers, or owners and generate quotes while managing a high volume of emails and phone calls.
Process preliminary checks such as aircraft and crew availability, airport suitability, weight and balance, and other related details.
Process contracts, payments, and enter trips into scheduling software.
Grow in knowledge and application of sales strategies and aviation operations.
2. Trip Logistics
Verify and schedule all details of planned flights including, but not limited to, flight itineraries, passenger information, luggage/cargo descriptions, aircraft and crew availability, airport/FBO suitability and costs.
Book and/or confirm all logistics such as ground transportation, parking locations, catering, after hours service, customs, and additional services.
Maintain exceptional customer service and communication with clients, brokers, owners, vendors, crew and staff while responding to all questions and concerns.
3. Crew Support
Manage communication of all preflight and changing trip information with crew.
Book and confirm all travel details for crew including accommodations, ground transportation, commercial travel, and other related details.
Assist with providing and checking on operational details to support pilots in preparation for and during flights.
4. Flight Following
Track and follow active flights and communicate with clients and crew as necessary.
Maintain situational awareness of status of all ATS aircraft, pilots, passengers/clients, airports/FBOs, time, weather, and other related details to best serve all ATS customers both internal and external.
Release crew from duty as necessary while considering crew quality of life, operational needs, and availability to complete sales.
5. Flight Data Management
· Maintain records of pilot flight hours, duty time, training, medical certifications, ARGUS/WYVERN ratings, and other related details.
6. Be a Team Player

7. Other Essential Duties & Responsibilities
General daytime office hours, rotating with evening, weekend, and holidays shifts, and additional on-call coverage will be required as part of a shared responsibility within the department.
Participates in weekly Flight Operations Meetings, and additional meetings and events as directed by supervisor.
Learn and apply all FARs, ATS standard operating procedures and safety protocols to every facet of the role.
Complete additional tasks and responsibilities as directed by supervisor.
