Procurement AssistantLegal Address - Benefits Access & Admin - Brooklyn, NY 11233OverviewSalary Range $46,000.00 - $46,000.00 Salary/year Position Type Full TimeDescriptionJob SummaryThe Procurement Assistant is responsible for purchasing goods and services, managing vendor relationships, and ensuring compliance with relevant regulations. This role plays a key part in optimizing the procurement process, negotiating contracts, and maintaining efficient operations across departments.ResponsibilitiesAssist with the procurement of goods and services in line with company needs and policiesInitiate, process, and review purchase orders to ensure complianceMonitor inventory levels and place orders as necessary, adjusting for slow-moving itemsVendor & Contract ManagementManage vendor contracts, negotiate terms, and ensure compliance with contractual obligationsBuild and maintain strong relationships with suppliers to ensure timely and accurate deliveryAddress issues related to product quality, quantity, or deliveryTracking & Procuring DonationsTrack and manage in-kind donations, ensuring proper documentation and reportingProcure donations and ensure they meet the organization's needsWork with donors to secure appropriate goods and services in line with the company's missionMaintain a system for tracking and acknowledging in-kind donationsReporting & AnalysisPrepare and manage procurement reports on a daily, monthly, and quarterly basisAnalyze supplier performance and recommend improvementsMaintain records of bids, purchase orders, contracts, and vendor performance for audit purposesCoordination & CollaborationCoordinate with internal departments (e.g., warehouse, café, accounting) to ensure smooth operationsAssist in proposal preparation, pricing negotiations, and contract administrationConduct market research to identify and evaluate new suppliers, using platforms such as the United Nations Global Market PlaceKnowledge Management & Additional DutiesMaintain a centralized database of suppliers and procurement recordsContribute to knowledge-sharing networks and best practicesPerform other duties as assigned to support procurement goalsQualificationsQualifications & SkillsBachelor's degree or equivalentProficient in QuickBooks or similar financial softwareStrong negotiation, communication, and organizational skillsDetail-oriented with excellent analytical, problem-solving, and multitasking abilitiesAbility to work independently and manage time effectivelyProactive, self-driven, and able to work with minimal supervisionHigh integrity and accountability, with a strong alignment to the organization's missionTeam-oriented and collaborative, committed to high work standardsOther RequirementsVertical – Chief Operating OfficerHorizontal – Accounting staff and teammatesWorking Conditions:The position is full-timeRequires occasional light lifting and long working hours occasionally for deadline constraint
