Job description

Production CoordinatorThe Production Coordinator provides operational and administrative support for academic, co-curricular, and external events across the College's three campus theatres: the Glicker-Milstein Theatre, LeFrak Theatre and Minor Latham Playhouse. The Coordinator reports to the Senior Associate Director of Operations in the LeFrak Center for Well Being with dotted-line accountability to Director of Production of the Minor Latham Playhouse and Glicker Milstein Theatre.The Coordinator maintains the following responsibilities across the three campus theatre spaces, with additional duties as assigned.OperationsSchedule and lead monthly meetings to improve visibility and planning processes across three theatre spacesSupport the budget development process; track budgets and expenditures for productions that take place in the LeFrak Theatre, Glicker-Milstein Theatre, and Minor Latham PlayhouseManage relationships and contracts with vendors, licensing agencies, third-party space renters, and part-time production staffParticipate in the outfitting and maintenance of theatre spaces in the Barnard Theatre Department, including the procurement of set materials and equipment purchases and upgradesSchedule the use of campus theatre spaces in consultation with key campus partners, external partners/renters, and other internal/external stakeholdersCreate and implement internal policies for scheduling of spaces by faculty, staff, and students (including recognized student organizations) in collaboration with Events Management and other stakeholdersLiaise with relevant Columbia University offices as appropriateEnsure effective and safe use of the theatrical spaces, including onboarding of any outside production staff as appropriateProvide semesterly administrative support for Theatre Department auditionsAttend production-related staff meetings and take notesReconcile weekly box office revenue and maintain POS equipment and softwareEvent ManagementManage ticketing for productions, including the creation of event pages and tickets and facilitating ticket sales, refunds, and customer service; hire and oversee student workers to support events and productionsManage campus access process for all ticket-holders and other guestsCoordinate with Events Management, Facilities, CARES, and other cross campus teams to ensure smooth planning and execution of events and performancesManage audience movement and safety at performances, maintaining fire safety certificationServe as a primary on-site point of contact for eventsSupport post-performance receptionsPublicitySupport publicity for productions, including the management of community engagement lists, in direct coordination with Barnard CommunicationsAssist Senior Associate Director of Operations to create and implement systems for streamlining communications across theatrical venues on campusCoordinate the production of marketing and other collateral materials with Barnard Communications as appropriateArrange for the archiving of production photos and videography, liaising with appropriate stakeholdersSkills and Qualifications:Required QualificationsBachelor's degree3-5 years of experience in theatrical or event productionAvailability to work evenings and weekendsPreferred QualificationsBachelor's degree in theatre, event production and management, non-profit management or similar fieldExperience working at college or universityKnowledge of at least one area of technical theatre (i.e. sound, lighting, etc.)Skills and AbilitiesStrong time management and task prioritizationExcellent written and verbal communicationExperience working with and aptitude for learning new software programs, including but not limited to ECT products, QLab, Google Suite, Microsoft Office Suite, Adobe platformsPositive and professional demeanor while working in a high volume and high energy environment under competing deadlinesCommitment to becoming an engaged member of an academic institution and supporting the work of faculty, students, staff, and the broader Barnard community|Salary: $70,000 - $76,000The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training.
