Program AssociateIndustry: Nonprofit / Healthcare AssociationLocation (city, state): Washington, DCAssignment Type: 3–6 month contract with potential opportunity to convert to a permanent position based on business needs, budget, and performance. Conversion is not guaranteed.Pay: $20–$25/hour (depending on experience)Work Schedule: Hybrid; generally Tuesday and Thursday in the office. Standard schedule is approximately 9:00 a.m.–5:00 p.m., with some flexibility. The organization also supports research, data initiatives, publications, and other resources that advance knowledge and best practices within its specialty.Job DescriptionOur client is seeking a highly organized and service-oriented Program Associate to join its Chapter Affairs team. This individual will provide administrative and program support to a portfolio of smaller chapters and work closely with volunteer leaders, members, internal teams, and external partners.The ideal candidate is comfortable coordinating multiple projects at once, managing deadlines, communicating with a variety of stakeholders, and handling detailed administrative responsibilities with minimal supervision.Key ResponsibilitiesProvide ongoing administrative and operational assistance to assigned chapters and their volunteer leadership.Serve as a point of contact for routine questions, requests, and administrative needs from chapter representatives.Help organize chapter meetings and events by coordinating registrations, presenters, materials, technology, vendors, and other logistical requirements.Assist with chapter council and leadership meetings, including calendar coordination, agenda preparation, meeting documentation, and post-meeting follow-up.Keep chapter leadership information, records, files, and other organizational materials accurate and up to date.Provide support with administrative and financial activities such as invoice processing, reimbursements, event expenses, and related documentation.Help distribute communications and information to chapter members and volunteer leaders.Organize shared folders, spreadsheets, templates, tracking documents, and other resources used by the Chapter Affairs team.Contribute to ongoing department programs, initiatives, and special projects as assigned.Monitor open action items and proactively follow up with appropriate contacts to ensure deadlines and deliverables stay on track.Collaborate with internal and external stakeholders while maintaining a professional, responsive approach to member and volunteer support.QualificationsAt least 2 years of experience in administrative coordination, project support, member/customer service, meeting coordination, or a related area.Experience in an association, nonprofit, healthcare, membership-based, or similar environment is preferred.Background supporting events, meetings, committees, chapters, boards, volunteer groups, or member communities is a plus.Demonstrated ability to coordinate multiple assignments, deadlines, and priorities simultaneously.Bachelor's degree preferred but not required.Strong proficiency with Microsoft 365, including Outlook, Teams, Word, Excel, PowerPoint, and shared document platforms.Excellent written and verbal communication skills.Strong organizational abilities and careful attention to detail.Reliable follow-through and the ability to independently determine appropriate next steps.Strong customer/member-service mindset and confidence communicating with professionals and senior-level volunteer leaders.Ability to learn new software and navigate multiple systems efficiently.Sound judgment, including the ability to recognize situations that require escalation.Additional DetailsThis is a 3–6 month contract opportunity with the potential to transition into a permanent position based on performance, available budget, and business needs. Permanent conversion is not guaranteed.The position follows a hybrid schedule, with employees generally working in the office on Tuesdays and Thursdays.
