Key Responsibilities: The Project Manager is a full-time, hybrid role based in Valhalla, NY. This position oversees the planning, coordination, and execution of projects from kickoff through Construction Administration. The Project Manager serves as the day-to-day contact for clients and the internal project team, helping ensure that project schedules, budgets, deliverables, and quality standards are maintained. Applicants must be comfortable with travel.
· Manage project delivery from survey and design through documentation, permitting, bidding, and Construction Administration, ensuring schedules, deliverables, budgets, and quality standards are maintained. Serve as the day-to-day client contact, coordinating meetings, communications, project expectations, and deliverables while escalating significant scope, fee, schedule, or technical issues to the Senior management.
· Coordinate Job Captains, Junior Production Staff, consultants, vendors, contractors, and other project team members to maintain project progress and effective communication.
· Oversee the development and coordination of architectural documents, reviewing drawings, specifications, MEP and consultant documents, and field information for accuracy, completeness, and consistency with client requirements and design intent.
· Review project deliverables at key milestones, provide clear redlines and direction to production staff, and resolve coordination conflicts, omissions, and discrepancies prior to issuance.
· Lead the resolution of technical and coordination issues, including research and evaluation of appropriate vendors, materials, products, and assemblies.
· Maintain client requirements, brand standards, design intent, and technical quality throughout all phases of the project.
· Coordinate the bidding process, including preparation of bid documents and schedules, bidder communications, clarifications, addenda, bid review, and contractor selection.
· Manage Construction Administration activities, including site visits, field reviews, RFIs, submittals, samples, shop drawings, change orders, and construction-phase issue resolution, while monitoring progress and maintaining design intent. Conduct Site Visits.
· Support proposals, scope development, and project pursuit activities as directed.
· Coordinate site surveys and existing-conditions documentation, identifying constraints, conflicts, and field conditions that may impact the project.
Qualifications
· 6 to 8 years of experience with an architectural firm, interior design firm, or similar professional environment.
· Proficient in Building Codes and ADA.
· Strong project management skills, including experience managing multiple projects, schedules, budgets, deliverables, and multidisciplinary teams.
· Proficiency in AutoCAD, Revit, or similar architectural software.
· Strong knowledge of architectural documentation, consultant coordination, and the design and construction process.
· Excellent organizational, communication, and problem-solving skills, with strong attention to detail and a collaborative approach.
· Ability to manage multiple projects, competing priorities, and deadlines effectively.
· Ability to manage people and teams to deliver successful projects. Mentor junior staff.
· Bachelor’s degree in Architecture or a related field.
· Experience with high-end or luxury retail, and/or corporate projects is a plus.
