Your new role
As a Property Coordinator, you will support the Property Manager in the day-to-day management of a portfolio of retail shopping centers. This role is heavily focused on property administration, tenant and vendor relations, service request management, and operational support. You will play a key role in ensuring properties operate efficiently while delivering best-in-class service to tenants and vendors.
Key Responsibilities:
Support the Property Manager with daily operations across a portfolio of retail properties
Collect vendor bids and prepare contracts for repairs, maintenance, and capital improvement projects
Review, code, and process vendor invoices and job cost documentation
Coordinate vendor services, property maintenance, and annual inspections
Manage utility account openings, closings, and related documentation
Assist with vacancy cleanouts, vacancy profiles, and property transition activities
Support the preparation and maintenance of emergency response plans for properties
Assist with annual budget preparation and expense tracking
Coordinate travel arrangements and expense reports
Review and respond to service requests through the company's customer service platform
Issue work orders and follow up with vendors to ensure timely completion
Maintain accurate property records and administrative documentation
Build and maintain strong relationships with tenants through verbal and written communication
Partner with vendors and internal teams to ensure operational excellence across the portfolio
What you'll need to succeed
Background in retail commercial real estate
Minimum of 2 years of experience in a fast-paced corporate environment
Prior administrative or property administration experience
Strong organizational skills with the ability to manage multiple priorities
Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Access
Bachelor's degree or equivalent combination of education and work experience
Excellent verbal and written communication skills
Strong customer service and relationship management abilities
Detail-oriented with the ability to follow through on multiple projects and deadlines
Technology-forward mindset with an interest in leveraging AI and emerging technologies to improve efficiency
Ability to work collaboratively in a team environment while managing responsibilities independently
What you'll get in return
