Property Portfolio Manager

Job description

This is a remote position.

Managing day-to-day operations for a property investment and management portfolio, this hands-on remote role serves as an operational anchor for 10 properties, including residential properties, holiday accommodation and commercial spaces. Working Monday to Friday (approximately 6 hours per day UK time), the position combines operational portfolio management with executive coordination.

You will be working directly with the Managing Director and acting as the central coordination link between tenants, UK-based contractors, finance managers, solicitors, mortgage brokers, insurers, and professional advisers. Taking ownership of day-to-day property operations, maintenance, compliance, and acquisition workflows, the position ensures the portfolio runs smoothly as further acquisitions progress.

Key Responsibilities

Property Operations & Compliance: Oversee day-to-day property operations, including rent monitoring, maintenance coordination, landlord compliance, and tenant matters.

Contractor & Maintenance Coordination: Coordinate UK-based contractors, repairs, routine inspections, and property access arrangements.

Professional Stakeholder Liaison: Manage professional correspondence and liaise with finance managers, mortgage brokers, insurers, solicitors, and other professional advisers to coordinate property-related financial and legal information.

Acquisition & Onboarding Support: Support property acquisitions from initial stages through conveyancing, legal completion, and operational onboarding.

Systems & Process Optimisation: Maintain accurate property records, compliance dates, and management systems while developing documented processes and using AI and automation tools to enhance workflows.

Team & Administrative Coordination: Help coordinate the remote and UK-based team while managing general administrative follow-ups and operational action items.

Requirements

Essential Requirements

Minimum of 5 years' relevant experience in property management, executive assistance, or operations management.

Excellent written and spoken English communication skills.

Strong organizational abilities with the confidence to deal professionally with tenants, contractors, solicitors, brokers, and advisers.

Proactive, dependable, and comfortable taking ownership of an independent workload from a remote home office in South Africa.

Strong interest in systems, technology, and AI tool integration.

Desirable Requirements

Previous UK property management experience, including HMOs and landlord compliance frameworks.

Experience with property acquisitions, finance or mortgage coordination, and managing people remotely.

Familiarity with COHO, Xero, ClickUp, Microsoft 365, OneDrive, WhatsApp, SpareRoom/OpenRent, and AI tools (such as Hermes Agent and ChatGPT).
