Purchasing CoordinatorLocation: Must work in person at our Noblesville, IN HQPosition Overview: The Purchasing Coordinator is responsible for supporting the procurement process from material request (MR) through purchase order (PO) issuance and fulfillment. This role works closely with Designers, Project Managers, the Purchasing Manager, materials team, and the VP of Procurement to ensure materials are ordered accurately, delivered on time, and properly tracked. The ideal candidate is highly organized, detail-oriented, proactive with follow-up, and comfortable managing multiple priorities in a fast-paced construction environment.Key ResponsibilitiesProcess Material Requests (MRs) submitted by Designers and Project ManagersCreate and issue Purchase Orders (POs) accurately and in a timely mannerMaintain organized and accurate purchasing documentationVendor & Backorder ManagementMonitor open purchase orders and proactively track delivery timelinesFollow up with vendors regarding order status and backordersCommunicate delays or issues to Project Managers and internal stakeholdersWork to identify solutions when materials are delayed or unavailableInternal CoordinationCollaborate closely with the VP of Procurement, Purchasing Manager, and materials teamEnsure alignment between job needs, purchasing timelines, and material availabilitySupport continuous communication to keep projects moving forwardAdministrative & Data ManagementMaintain organized digital records of MRs, POs, confirmations, and invoicesAssist with reporting on open orders, backorders, and purchasing activityTake on additional administrative or purchasing-related tasks as neededRequired Skills & QualificationsStrong organizational skills with exceptional attention to detailExperience processing purchase orders or working within procurement workflowsAbility to manage multiple open orders simultaneouslyStrong follow-up skills and accountabilityClear communication skills with vendors and internal teamsComfortable working with spreadsheets and purchasing systemsPreferred QualificationsExperience in construction, fabrication, manufacturing, or related industryFamiliarity with material requests (MRs) and purchase order (PO) processesExperience tracking backorders and vendor communicationProactive and solution-orientedHighly reliable with strong ownership of tasksComfortable working cross-functionally with multiple departmentsDetail-driven with a commitment to accuracyTeam-oriented with a service mindset
