Job description

Receiving CoordinatorThe Receiving Coordinator provides comprehensive shipping and receiving support to ensure efficient operations within the Service Center. This role involves frequent interaction with peers, supervisors, and occasionally customers, as well as a high volume of data entry and report generation. The Receiving Coordinator verifies incoming and outgoing materials, maintains accurate documentation, and supports compliance with applicable Federal, State, and Local Department of Transportation regulations, along with internal policies, practices, and procedures. Depending on the Service Centers level and location, this position may place greater emphasis on either shipping or receiving activities.Responsibilities:Place 24-hour advance notice calls to customers in assigned territories to inform them about next-day service and ensure clear communication.Inform Client Services or Dispatch personnel of any order changes to maintain accurate scheduling and service delivery.Verify outgoing shipments of supplies, equipment, and materials to confirm accuracy against orders and documentation.Identify materials received, verify quantities and descriptions, and complete all required receiving paperwork accurately.Sign manifests that end at the facility and create billing packets when required, in accordance with location-specific permitting and needs.Enter order updates into the system, including any required transportation, supplies, or other charges once waste and documentation arrive at the facility.Obtain the 10-day log from the supervisor following the daily yard walk, review the log against the manifest tracking system, reconcile the reports, make copies, and complete forms using current day data.Manage inventory of office supplies and personal protective equipment (PPE), placing orders through the internal ordering website and securing necessary approvals.Review drivers data submitted via an electronic logbook to ensure compliance with Department of Transportation hours-of-service and other regulations, verify information, and notify the Transportation Supervisor or Manager of any violations.Maintain and compile information from drivers load sheets into a single daily report to support accurate inventory of warehouse supplies.Prepare required manifest and land disposal restriction forms and maintain associated filing systems to support regulatory compliance.Compile and enter operational data and reports, including labor hours, equipment usage, material consumption, quality control information, and types and quantities of labor, to help manage logs and support operational decision-making.Create and edit incoming and outgoing daily, weekly, and monthly inventory reports to provide clear visibility into warehouse and service center inventory levels.Maintain electronic and paper files, rosters, and contact lists; accurately update files, reports, spreadsheets, and documentation.Sort and distribute mail and perform general administrative tasks to support smooth office operations.Coordinate regularly with warehouse personnel to ensure alignment between office documentation and physical inventory movements.Essential Skills:High school diploma or General Educational Development (GED).At least 1 year of experience providing administrative support, such as payroll entry, generating reports, or bookkeeping/accounting-related tasks.Proficiency in data entry with a high degree of accuracy and attention to detail.Experience with shipping and receiving processes, including verification of incoming and outgoing materials.Ability to compile, review, and reconcile operational and inventory data from multiple sources.Strong organizational skills to manage files, logs, reports, and documentation in both electronic and paper formats.Basic proficiency with Microsoft Office applications, including Excel, for data entry and report creation.Ability to review drivers logbook data and understand compliance requirements related to Department of Transportation regulations.Effective communication skills to interact with internal teams and occasionally with customers.Ability to work in an office environment while coordinating activities with warehouse operations.Additional Skills & Qualifications:Experience using systems such as Salesforce, Preview, Steriwise, or similar platforms is preferred.Experience with CORE and Intelligent Document Processing (IDP) is a plus.Background in administrative tasks and office management is preferred.Experience in hazardous waste management is preferred.Understanding of the waste management industry is considered a plus.Ability to interact with customers, manage service level agreements (SLAs), and maintain strong relationships is preferred.Intermediate skills in Microsoft Excel, including the ability to create and edit spreadsheets and reports, are preferred.Demonstrated attention to detail in work tasks and documentation is strongly preferred.Familiarity with inventory control processes and logistics coordination is beneficial.Experience with SAP or similar enterprise resource planning systems is advantageous.Why Work Here?Employees benefit from a comprehensive package that supports their overall well-being and long-term growth. The Receiving Coordinator works with electronic logbooks, inventory tracking systems, and office productivity tools such as Microsoft Office and Excel to manage data and documentation. Daily work involves coordinating with warehouse staff to align physical inventory movements with system records, handling paper and electronic files, and managing mail distribution. The environment emphasizes accuracy, regulatory compliance, and collaboration across office and warehouse functions, with regular use of personal protective equipment (PPE) when required for coordination activities involving warehouse areas.Job Type & Location:This is a Contract to Hire position based out of Somerton, AZ.Pay and Benefits:The pay range for this position is $25.00 - $27.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
