This role is essential to the daily administrative operations of the organization by ensuring visitors are properly received, communications are handled efficiently, and front desk operations run smoothly.The Receptionist is responsible for managing the front desk and reception area while supporting a variety of administrative and facility-related activities. In this role, you will:Welcome visitors, employees, vendors, and guests with a friendly, professional demeanor.Provide directions to visitors and delivery vendors based on established procedures.Monitor the main reception area and surrounding areas, ensuring they remain clean, organized, and welcoming.Ensure all visitors to the building check in upon arrival, coordinating visitor access in accordance with building security protocols.Monitor compliance with building access procedures and communicate security concerns to Facilities leadership.Assist in maintaining access credentials, visitor badges, and other security-related records.Support emergency procedures by maintaining accurate occupancy and visitor information when needed.Answer, screen, and route incoming phone calls in a prompt and professional manner, taking and relaying messages as needed.Receive, sort, and distribute incoming mail and packages. Coordinate outgoing mail and courier/delivery services.Perform general administrative support and other duties as assigned.What You'll Need:High school diploma or equivalentMinimum two years of experience in a receptionist, front desk, customer service, or office administration roleCurrent notary license or the ability to obtain a notary licenseOutstanding interpersonal skills and customer service drivenMaintains a professional appearance and demeanor that reflects positively on the organization.Exceptional communication skills, both written and verbalAbility to assess, evaluate, and provide sound judgment in carrying out dutiesStrong organizational skills with the ability to prioritize and multi-taskDetail-oriented with high degree of accuracyPunctual and dependable.
