Job description
As an Escrow Specialist , you will play a critical role in ensuring a seamless and efficient real estate closing experience. You’ll provide centralized operational support to Escrow Officers and local branches, managing key administrative and compliance tasks throughout the transaction lifecycle. Your attention to detail, customer-first mindset, and ability to thrive in a fast-paced environment will directly contribute to successful real estate closings and client satisfaction.
nKey Responsibilities
nOperational & Task Management
nnnMaintain an accurate and up-to-date task list via workflow dashboards, ensuring no overdue items.
n
nnSupport escrow branches by:
n
n n• Reviewing title commitments/prelims and buyer/seller information forms.
n• Ordering tax certificates, HOA documents, surveys, payoffs, and lien releases.
n• Balancing files and preparing closing documents.
n• Completing other assigned workflow tasks as needed.
nDocument Review & File Management
nnnEvaluate real estate contracts and the supporting documents for accuracy and completeness.
n
nnCompile and process escrow instruction packages.
n
nnEnsure all documentation is compliant and properly filed.
n
n nBranch Collaboration & Communication
nnnPartner with Escrow Officers and local branches to prepare for closings.
n
nnProvide timely updates on file status, changes, and issues.
n
nnServe as a liaison between internal teams and external clients.
n
n nRisk Assessment & Compliance
nnnIdentify discrepancies and assess risk levels using sound judgment.
n
nnEscalate issues appropriately to ensure compliance and mitigate risk.
n
n nQualifications
nExperience
nnn1–3 years of experience in escrow, title, and/or real estate transaction support required.
n
nnDemonstrated understanding of the full lifecycle of a real estate transaction (“life of a file”).
n
nnDemonstrated understanding of closing documents and settlement statements.
n
n nTechnical Skills
nnnProficiency in Microsoft Office Suite and AI tools (i.e.- CoPilot, Gemini, Chatgpt)
n
nnThe ability to learn and navigate multiple software systems quickly and accurately as this role regularly works in escrow computer applications.
n
