REMOTE--Real Estate Project Coordinator

Position Overview

Intepros is seeking a detail-oriented Real Estate Project Coordinator to support ongoing real estate and facilities initiatives. This individual will work closely with the Strategic Planning team to coordinate projects, maintain schedules and key milestones, track stakeholder deliverables, and provide administrative support across real estate and lease-management activities.

The ideal candidate will bring strong project coordination/project management experience, excellent organizational skills, and the ability to proactively follow up with stakeholders to ensure projects and deliverables remain on schedule. Experience supporting corporate real estate, facilities, lease administration, or similar projects is highly preferred.

Key Responsibilities

Project Management & Coordination

Assist in managing and coordinating real estate and facilities projects from planning through completion.

Maintain and update project schedules, timelines, milestones, and tracking tools.

Track project deliverables and proactively follow up with stakeholders to ensure accountability and timely completion.

Prepare and distribute project status reports, dashboards, meeting minutes, and other project documentation.

Coordinate meetings and maintain clear documentation of action items, responsibilities, and deadlines.

Partner with internal teams and external stakeholders to identify and address project needs, risks, and outstanding items.

Real Estate & Lease Administration

Support day-to-day real estate administration and lease-management activities.

Track critical lease dates, renewals, expirations, correspondence, and other key milestones.

Maintain accurate and organized records for real estate documents, leases, contracts, and related documentation.

Assist with site-selection research and data gathering for potential new locations, relocations, or expansions.

Support ongoing facilities and real estate initiatives as needed.

Budget, Purchase Order & Reporting Support

Create and manage purchase orders associated with projects and real estate activities.

Support invoice processing, payment tracking, and invoice reconciliation.

Assist with tracking project budgets and expenses.

Support the preparation and documentation of Capital Expenditure (CapEx) requests.

Maintain accurate financial and project records and assist with reporting as required.

Required Qualifications

Previous project management or project coordination experience.

Strong organizational skills with exceptional attention to detail.

Demonstrated ability to manage schedules, timelines, milestones, and multiple competing priorities.

Experience tracking deliverables and following up with stakeholders to drive accountability.

Strong written and verbal communication skills.

Proficiency with Microsoft Office, including Excel, PowerPoint, Word, and Outlook.

Ability to work independently and effectively in a remote environment.

Preferred Qualifications

Experience supporting corporate real estate, facilities, lease administration, or workplace projects.

Familiarity with real estate lease management, including critical dates, renewals, and documentation.

Experience with purchase orders, invoice reconciliation, payment processes, and budget tracking.

Experience supporting CapEx requests.

SAP experience is a plus.

Ideal Candidate

The strongest candidate will combine hands-on project coordination experience with exposure to real estate or facilities operations. They should be highly organized and proactive, comfortable maintaining project schedules and trackers, and willing to follow up consistently with stakeholders to keep deliverables moving.

Candidates with experience in lease administration, critical-date tracking, real estate documentation, purchase orders, invoice/payment processes, and facilities projects will be particularly well aligned. xhqgsiq
