Job Summary:

We are seeking a highly organized, proactive and solution-oriented Remote Real Estate Executive Assistant (Bilingual) to provide administrative and operational support to a fast-paced real estate business. This role requires a resourceful professional who can manage executive communications, coordinate projects, maintain accurate documentation, and support daily business operations with minimal supervision. The ideal candidate is fluent in English and Spanish, possesses excellent communication and organizational skills, and thrives in a deadline-driven environment. You will work closely with executives, clients, vendors, and internal teams while managing multiple priorities, utilizing business tools such as Monday.com, and identifying opportunities to improve efficiency. Key Responsibilities:

Assist with real estate and client management processes.

Manage executive email and professional correspondence.

Handle inbound and outbound calls, including cold calling property owners.

Generate and qualify real estate leads through professional phone outreach.

Coordinate calendars, meetings, appointments, and daily priorities.

Handle communications with clients, vendors, and business partners.

Track tasks, projects, and follow-ups using Monday.com.

Maintain accurate records, reports, and documentation.

Conduct research and provide administrative support for business operations.

Monitor project progress and communicate timely updates.

Prioritize tasks, meet deadlines, and work independently.

Learn and follow company systems, processes, and workflows.

Use AI and company tools responsibly to improve productivity and efficiency.

Support multiple departments and adapt to changing business needs.

Identify challenges and recommend practical solutions.

Perform other duties related to the position as assigned.

Qualifications & Requirements:

Proficient level of English (written and spoken).

Proficient level of Spanish (written and spoken).

Excellent verbal and written communication skills, including professional phone and email etiquette.

Previous experience as an Executive Assistant, Administrative Assistant, Customer Service or similar roles.

Experience supporting executives in real estate, property management, or professional services is preferred, but not required.

Sales duties are not initially required; customer service or sales experience is a plus.

Experience with Monday.com, cloud-based collaboration tools or similar project management software is a plus, but not required.

Comfortable handling both inbound and outbound calls, including cold calling property owners.

Able to generate real estate listings and leads through phone outreach.

Strong organizational, research, and documentation skills with exceptional attention to detail.

Strong analytical, critical-thinking, problem-solving, and decision-making abilities.

Ability to manage multiple priorities in a fast-paced and deadline-driven environment.

Self-motivated with the ability to work independently and follow established processes.

Quick learner with the ability to adapt to new systems and workflows.

Professional, dependable, coachable, and accountable with excellent attendance.

Creative, resourceful, and proactive with an out-of-the-box mindset.

Proficiency with Microsoft Office (Word, Excel, Outlook), and standard business tools (email, spreadsheets, document management).

Ability to work U.S. Eastern Time (New York) business hours and adapt to business needs.

Compensation & Benefits:

100% remote work.

Compensation in USD.

Full-time position with 40 hours weekly.
