About the Role
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant / Events Planner to support a high-end luxury events company that caters to affluent business owners and high-net-worth clients.
This role combines executive support, event coordination, and concierge services to deliver exceptional experiences from initial planning through execution. You will work closely with clients, suppliers, and premium venues to ensure every event is seamless, sophisticated, and executed to the highest standard.
The ideal candidate is professional, resourceful, and thrives in a fast-paced environment where discretion, relationship management, and attention to detail are essential.
Key Responsibilities
Event Planning & Coordination
Assist in planning and executing luxury events for business owners and VIP clients.
Coordinate event timelines, logistics, and schedules.
Research and source premium venues, suppliers, and service providers.
Manage bookings, reservations, and event-related documentation.
Ensure all event details are communicated accurately and executed seamlessly.
Concierge & Client Support
Act as a concierge point of contact for clients before, during, and after events.
Build and maintain strong relationships with clients, venues, and suppliers.
Handle special requests and provide personalized support to deliver exceptional client experiences.
Maintain a high level of professionalism, confidentiality, and discretion.
Executive Assistant Duties
Manage calendars, appointments, and scheduling.
Coordinate meetings and travel arrangements when required.
Prepare presentations, reports, and administrative documents.
Organize emails, follow up on action items, and maintain records.
Support daily business operations and administrative tasks.
Requirements
Proven experience as an Executive Assistant, Event Planner, Event Coordinator, Concierge, or similar role.
Excellent organizational and multitasking skills.
Strong written and verbal English communication skills.
Experience managing suppliers, bookings, and client relationships.
Ability to work independently and proactively solve problems.
High attention to detail and strong time management skills.
Professional, polished, and customer-service oriented.
Comfortable working with high-profile or affluent clients.
Proficiency with Google Workspace, Microsoft Office, and project management tools is preferred.
Preferred Qualifications
Previous experience in luxury events, hospitality, concierge services, or executive support.
Experience coordinating corporate, networking, or exclusive private events.
Familiarity with CRM, event management, or scheduling platforms.
Compensation
Part-Time: 20 hours per week
Rate: $10–$15 AUD per hour (depending on experience)
Remote role with flexible working arrangements.
