nThe Sales Support Associate / Executive Assistant provides comprehensive administrative and marketing support to a busy sales team focused on large, high-profile commercial real estate properties. This role helps drive new business by coordinating sales activities, preparing client-facing materials, and ensuring smooth day-to-day operations. You will work on site in Saddle Brook, NJ, supporting calendar management, travel coordination, marketing campaigns, and client communications in a fast-paced, deadline-driven environment.
nResponsibilities
nnnManage complex calendars for sales professionals, including scheduling meetings, resolving conflicts, and coordinating logistics.
n
nnArrange travel and event coordination, ensuring all itineraries, reservations, and meeting details are accurate and complete.
n
nnHandle incoming calls and communications, responding promptly and professionally to internal stakeholders and external clients.
n
nnProcess commissions and expenses in accordance with company policies, maintaining accurate records and documentation.
n
nnMaintain databases, reports, and content libraries to ensure information is current, organized, and easily accessible to the team.
n
nnAssist with website updates and track activities in internal systems to support sales and marketing initiatives.
n
nnServe as a liaison for clients on routine inquiries, providing timely responses and helping resolve issues efficiently.
n
nnProduce branded marketing materials such as presentations, proposals, flyers, offering memorandums, maps, and floor plans that align with brand standards.
n
nnDevelop email and direct marketing campaigns to promote property listings and support sales outreach.
n
nnConduct market research and analysis to support sales strategies and create clear, concise client deliverables.
n
nnCoordinate with internal teams such as marketing, research, and finance to integrate data and insights into sales materials and reports.

nnMaintain marketing databases, listing websites, and prospect tracking tools to support business development efforts.

nnSupport selling, leasing, and marketing activities for large, high-profile commercial real estate properties.
n
nnManage projects from start to finish, ensuring deadlines are met and deliverables meet quality and branding standards.
n
nnPrioritize multiple requests and tasks, maintaining strong organization and attention to detail in a fast-paced environment.
n
nnWork both independently and collaboratively as part of a team, demonstrating sound judgment and proactive problem-solving.

n nEssential Skills
nnnHigh School Diploma or GED.
n
nn24 years of experience in sales support, customer service, retail, account management, or a related job function.
n
nnExperience following established work routines and standards in day-to-day tasks.
n
nnStrong communication skills to exchange straightforward information clearly and professionally.
n
nnProficiency with Microsoft Office products, including Word, Excel, PowerPoint, and Outlook at an intermediate to advanced level.
n
nnBasic math skills with the ability to calculate simple figures such as percentages, discounts, and markups.

nnDemonstrated ability to work independently while exercising sound judgment and problem-solving abilities.

nnStrong organizational skills with proven attention to detail and accuracy, particularly in branding and quality of deliverables.

nThis is an on-site role based in Saddle Brook, NJ, working standard business hours from 9:00 a.m. to 5:00 p.m. with a one-hour lunch break. You will operate in a professional office environment that supports a commercial real estate sales team, using tools such as Microsoft Office and internal systems, with potential use of Adobe Creative Suite for marketing materials. The setting is fast-paced and deadline-driven, requiring strong organization and focus throughout the day. Professional attire is expected to align with a client-facing office environment. The initial assignment duration is three months, with the possibility of extension based on business needs.

nPay and Benefits
nThe pay range for this position is $21.00 - $22.00/hr.
nIndividual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
