Senior Administrative AssistantBernstein Senior Administrative Assistants are client service professionals who exhibit drive, ambition, and exceptional communication and relationship-building skills, and who, in collaboration with Financial Advisors and Management, help propel the growth of our Private Wealth Management Platform. This is an exciting and challenging opportunity to partner with senior investment professionals to serve a broad range of clients' needs.The Senior Administrative Assistant will work in a dynamic, trust-based partnership with the Managing Director and Financial Advisors to serve a broad range of client needs and will act as a liaison with both internal and external clients.The Senior Administrative Assistant will:Partner with multiple financial advisors and leadership to boost productivity and efficiency through service and support functions, including:Ensure advisors are prepared for client and prospect meetings, including creating and preparing presentations, meeting materials, and reportsDemonstrate a hospitality mindset in setting up and arranging on-site client meetingsEffectively manage advisors' calendars, including scheduling and maintaining meetings, while considering preferences and needsProactively communicate with advisors to understand priorities and keep them up to date on changes and developments that impact their practice and clients.Coordinate complex senior-level internal/external meetings and conference callsHandle a high volume of phone calls from external clients and internal contactsProvide general administrative duties in a timely manner, including the preparation and revision of correspondence, database maintenance, reconciling monthly expenses, and scheduling and management reportingAssist in general office maintenance, which may include ordering office supplies and facilities coordinationPrepare presentations and reports for management, clients, and prospectsAssist in ad-hoc reports and special projects as needed requiring a high level of detail and follow-upProvide support and partnership to the marketing team as neededTake part in a team environment working toward a common goal of providing exceptional client service, including the training of new team membersWork the Approximate Hours of: 8:00 a.m.–5:00 p.m. Flexibility to work overtime as workload demands changeThe ideal candidate should have 3+ years of administrative or executive support experience in a corporate or professional setting with experience working alongside high-level professionals.Ability to independently prioritize and execute multiple complex tasks and projects in a fast-paced, deadline-oriented environment.Outstanding verbal and written communication skills to deliver distinctive client service.Strong time management and organizational skills.Individuals who are client-focused and have a high attention to detail.Accomplished team players who thrive in a rigorous and challenging environment.Strong proficiency in Microsoft Office is required, experience with Salesforce preferred.About BernsteinBernstein Private Wealth Management advises high-net-worth clients on planning for—and living with—the complexities that come with wealth.
