Job description
Service DispatcherThe Service Dispatcher is responsible for coordinating and scheduling service technicians, managing incoming service requests, and ensuring timely communication between customers, technicians, vendors, and internal departments. This role supports efficient field operations by prioritizing work orders, monitoring technician schedules, and maintaining accurate documentation within company systems.Key ResponsibilitiesReceive, prioritize, and dispatch service calls based on urgency, location, technician skill set, and workloadSchedule preventive maintenance, emergency service calls, inspections, and project-related service workCommunicate with customers regarding appointment scheduling, technician arrival times, delays, and service updatesCoordinate communication between customers, technicians, vendors, and internal departmentsMonitor technician routes and schedules to maximize efficiency and response timesCreate, update, and close work orders within company software systemsMaintain accurate records of customer interactions, service history, and technician notesReview technician timesheets, labor hours, and service documentation for accuracyAssist with invoicing support, quote follow-up, and administrative reporting when requiredRespond professionally to high-pressure situations and customer escalationsEnsure dispatching activities comply with company policies, safety procedures, and customer requirementsRequired QualificationsHigh school diploma or equivalent requiredPrevious dispatching, scheduling, customer service, or administrative experience preferredStrong organizational and multitasking skills in a fast-paced environmentExcellent verbal and written communication skillsAbility to prioritize and manage changing schedules effectivelyProficient in Microsoft Office and OutlookComfortable using service-management software systemsStrong attention to detail and problem-solving abilitiesAbility to work independently and collaboratively with field and office personnelPreferred QualificationsExperience in service or field-service industriesFamiliarity with ERP or field-service platforms such as NetSuite or Microsoft Dynamics 365Knowledge of technician scheduling and routing practicesPhysical / Work EnvironmentPrimarily office-basedExtended computer and phone usageAbility to sit for extended periodsComfortable managing multiple screens/systems simultaneouslyMay require occasional overtime depending on service demandPerformance ExpectationsMaintain high customer satisfaction and professionalismEnsure efficient technician utilization and response timesMinimize scheduling conflicts and dispatch delaysMaintain accurate and timely documentation and communication
