Job description
Service CoordinatorThe Service Coordinator is responsible for coordinating daily service operations, dispatching technicians, supporting purchasing activities, and maintaining communication between customers, technicians, vendors, and office staff. This role manages service requests from intake through completion, schedules and assigns work based on priority and availability, and ensures accurate documentation and communication throughout the service process.Service Coordination & DispatchCoordinate with office staff and field personnel to ensure efficient service delivery and successful job completionReceive and respond to incoming calls, dispatch line inquiries, and customer requests in a timely and professional mannerMonitor after-hours messages, on-call requests, and incoming emailsCreate, schedule, and manage service calls based on customer needs, urgency, and priorityAssign technicians based on skill set, availability, location, and workloadMaintain and update the dispatch board with accurate job status and next stepsServe as the primary point of contact for technician check-in and check-out proceduresMonitor technician progress and communicate updates throughout the dayMaintain accurate job notes, labor hours, equipment needs, and customer communicationsCoordinate special equipment needs such as lifts, cranes, and other jobsite requirementsSupport scheduling of maintenance work, service calls, and small project workCoordinate company vehicle usage, including fleet assignments and spare unitsSchedule meetings, training sessions, and operational activities as neededPurchasing & Inventory SupportSource and purchase parts and materials through approved vendorsMaintain and update parts tracking systems and daily status reportsRespond to technician inquiries regarding parts availability and specificationsObtain vendor quotes, place orders, and track delivery timelinesUpdate service management systems with purchasing activity and order statusProcess warranty claims, returns, and replacement part requestsAssist with receiving shipments and coordinating warehouse inventory flowProvide documentation for company purchasing and credit card transactionsMaintain accurate purchasing records and ensure timely communication of order statusCustomer & Client SupportServe as a primary point of contact for customers throughout the service processProvide updates on scheduling, service progress, parts status, and job completionGenerate, manage, and follow up on customer quotes from creation through approvalRespond to customer inquiries and concerns in a timely and professional mannerSupport general customer service and administrative functions as neededProvide backup support for front office and call intake functionsCommunicate daily priorities and updates to operations and field teamsQualificationsHigh school diploma or equivalent requiredStrong customer service and communication skillsExcellent organizational skills and attention to detailAbility to manage multiple priorities in a fast-paced environmentProficiency with computer systems, scheduling software, and Microsoft OfficeAbility to work effectively with customers, technicians, vendors, and office staffPreferred QualificationsExperience in HVAC/R service coordination, dispatching, purchasing, or customer serviceKnowledge of HVAC systems, equipment, and parts terminologyPost-secondary education in HVAC, business administration, supply chain, or related fieldExperience with service management or dispatch software systemsKey CompetenciesCustomer FocusCommunicationTeam CollaborationProblem SolvingTime ManagementAttention to DetailOrganization and PlanningVendor Relationship ManagementAdaptability and MultitaskingWork EnvironmentOffice-based positionProlonged periods of sitting and computer useOccasional lifting of office materials up to 30 lbsUse of standard office equipment and communication systems
