Sr. Data Entry Operator – Medical Records Scanning & DigitizationSigma Systems is seeking three Sr. Data Entry Operators for a 4-month contract opportunity supporting the Framingham Heart Study (FHS). This onsite position will support a medical records scanning and digitization project within the Health Information Management (HIM) Department.The selected candidates will help convert paper medical records into secure electronic files by preparing, scanning, indexing, organizing, and quality-checking sensitive participant records. This is an excellent opportunity for candidates with experience in data entry, medical records, document scanning, records management, health information management, or administrative support.Key ResponsibilitiesPrepare paper medical records for scanning and digital conversion.Scan medical records into the approved electronic document management system.Index and organize electronic records accurately.Perform quality assurance checks to verify the accuracy, completeness, and readability of scanned documents.Identify and correct scanning or indexing errors.Maintain accurate electronic records and document organization.Handle sensitive participant and medical information with a high level of confidentiality.Follow applicable HIPAA, FHS, and Boston University policies and procedures.Support document management, records organization, and archiving activities.Maintain an organized and efficient workflow while processing high volumes of records.Work independently while collaborating with the Health Information Management team.Perform additional records and administrative duties as assigned.Required QualificationsHigh school diploma or equivalent required.Strong attention to detail and accuracy.Strong organizational and time-management skills.Basic to intermediate computer proficiency.Proficiency with Microsoft Office Suite and general computer applications.Ability to follow established procedures for document handling and data entry.Ability to work independently and as part of a team.Ability to maintain confidentiality when handling sensitive health information.Ability to lift and move records/files weighing up to 25 pounds.Preferred QualificationsPrevious data entry experience.Experience with medical records or health information management.Experience with document scanning and digitization.Experience with electronic filing or document management systems.Records management or archival experience.Administrative or clerical experience in a healthcare, research, hospital, university, or medical environment.Familiarity with HIPAA and handling confidential information.Ideal CandidateThe ideal candidate is detail-oriented, organized, computer-savvy, and comfortable working with large volumes of paper and electronic records. Candidates with backgrounds such as Data Entry Operator, Data Entry Specialist, Medical Records Clerk, Health Information Technician, Records Specialist, Document Imaging Specialist, Administrative Assistant, File Clerk, or HIM Clerk may be well suited for this opportunity.Work Environment & Physical Requirements100% Onsite in Framingham, MAAbility to work with paper records and scanning equipment for extended periods.Ability to lift and move boxes/files weighing up to 25 pounds.Must be able to maintain accuracy and attention to detail in a repetitive, document-intensive environment.
