Student Services Specialist
The Student Services Specialist plays a vital role in ensuring the smooth daily operations of the school by managing a variety of support services, with a focus on accuracy, communication, and efficiency. This role serves as a key point of contact for students, families, staff, and community partners while supporting essential operational areas such as attendance, student records, enrollment and withdrawal processes, purchasing, scheduling, and communication. Minimum Education and/or Experience Preferred Education and/or Experience
High School Diploma or GED • Bachelor's Degree
Office administrative experience • Bilingual English-Spanish
Valid Arizona DPS Fingerprint Clearance Card • Experience working in alternative education settings
Essential Duties and Responsibilities: Knowledge, Skills, and Abilities
Greet visitors, parents, and students. Knowledge of:
Manage school enrollment processes, including registration, enrollment forms, student records, and cumulative files. School administrative procedures and regulations.
Process student withdrawals, handle records requests, and ensure compliance with data protection regulations. Skilled in:
Microsoft Office Suite (Word, Excel, other relevant Outlook) and Google Workspace.
Answer phone calls, take messages, and redirect inquiries as appropriate; call parents and/or guardians when student miss school.
Maintain accurate attendance records for students and staff, following required policies and procedures for record keeping.
Collect electronic devices daily when students come in and distribute back when they leave school premises.
Support students with health incidents as needed, including administering first aid and contacting emergency services.
Perform data entry tasks, including updating student records, attendance information, and other administrative databases; create, update and maintain current student spreadsheets and logs.
Perform translations in Spanish as needed.
Initiate and track the 45-day screener process.
Input hearing and vision data.
Support submission of monthly Credit Logs and graduation data.
Support TABE and AZELLA testing progress.
Manage inventory of office supplies and place orders or request donations for items as needed.
Attend training sessions and professional development opportunities as required.
Communicate daily facility and staffing updates between school staff.
Assist finance and procurement processes as needed (e.g., collect estimates and quotes).
Track and maintain bus inspection and logs.
Collaborate with staff to bring community resources and support initiatives that enhance student learning and well-being.
