Supporting Documentation SupervisorAt PHS, we help medically complex kids live their best lives— at home, with their families. Join a mission-driven team that's committed to putting children and families first.Location: Houston, Texas (Kirby Drive)Work Environment: 100% on-site / in officeSchedule: Monday–Friday, 8:00 a.m.–5:00 p.m.Additional Hours: This leadership position may require additional hours outside the standard schedule based on business, staffing, or operational needsThe Role: The Supporting Documentation Supervisor provides daily direction, leadership, and support to the documentation and medical records team, ensuring excellent customer service and operational effectiveness. This role plays a critical part in maintaining documentation standards and process improvement while stepping in to support routine functions when needed.Lead & Develop Your TeamProvide daily direction, coaching, and support to assigned staffConduct regular 1:1 meetings and provide ongoing feedbackLead department meetings and promote clear team communicationCoordinate schedules to maintain appropriate coverageHelp build an accountable, collaborative, and positive team environmentPartner with leadership to identify development and training opportunitiesImprove Quality & ProcessesSupport Continuous Quality Improvement (CQI) initiativesDevelop and conduct departmental audits focused on accuracy and efficiencyIdentify workflow challenges and recommend practical solutionsImplement process improvements that support team and organizational goalsReview and update departmental work instructions and policiesSupport Training & SystemsPartner with leadership to develop and implement training protocolsSupport consistent onboarding and ongoing employee developmentAssist with EHR development and effective system utilizationParticipate in department-related PIG meetings and initiativesMaintain Documentation & Compliance StandardsPromote accurate and timely documentation within the EHREnsure HIPAA requirements and patient confidentiality standards are followedMaintain department competency and adherence to applicable internal and external requirementsReinforce consistent documentation practices across the teamKeep Operations MovingStep in to support routine department functions when additional assistance is neededHelp resolve escalated or problematic documentation requestsIdentify operational barriers and work collaboratively toward solutionsMaintain ongoing communication with leadership regarding staffing needs, workflow concerns, department performance, and opportunities for improvementIn this role, you'll help create a department where:Team members understand expectations and have the support they need to succeedDocumentation is handled accurately, consistently, and efficientlyOperational challenges are identified and addressed proactivelyTraining and work instructions remain current and practicalTeams work collaboratively across departmentsQuality, compliance, customer service, and continuous improvement remain central to daily operationsQualifications2+ years of supervisory or lead experience, preferably in healthcare administration, documentation, medical records, or a related environmentWorking knowledge of HIPAA requirements and EHR systemsDemonstrated ability to coach, develop, and support employeesStrong communication and interpersonal skillsExcellent organizational skills with the ability to manage competing prioritiesStrong critical-thinking and problem-solving abilitiesFamiliarity with quality assurance, auditing, and process improvementA collaborative leadership style and willingness to remain involved in day-to-day operations when neededThe Company: Pediatric Home Service is a pediatric home health agency that has provided high-quality DME and nursing services to medically fragile children since 1990.
