Transportation Operations CoordinatorThis position coordinates operations and processes for Coordinated Care Organizations (CCOs) and CareOregon’s transportation functional areas to help ensure the quality of service, program compliance, and effective communication among CCOs, CareOregon functions, delegated entities or providers, and internal departments. Core responsibilities include coordinating transportation operations and assisting with vendor, partnership, and project management activities.
This position is part of a structured job family. Employees in this role are responsible for fulfilling the foundational supportive duties associated with earlier stages of the job family, while also taking on expanded responsibilities that require greater independence, coordination, and judgment.Estimated Hiring Range:

Essential Responsibilities
Operational Support & Monitoring
In partnership with internal teams, coordinate program data to help ensure new and assigned programs and activities comply with all relevant internal policies and procedures.
Grow understanding and ability to interpret how regulatory requirements, guidance changes, and contractual updates impact internal and subcontractor operations.
Coordinate regular updates for development and revision of policies, workflows, standard operating procedures, and other tools used in program activity.
Review and clean NEMT encounter and claims data; coordinate data remediation with vendors for recurring issues.
Coordinate with department leaders and teams in the creation and development of brand, marketing, and communication materials relevant to programs and projects.
Gather information and enter data for program and project updates used in status reports to CCOs and CareOregon leadership.
Coordinate processes for program integrity work, including audit validation and utilization data collection for producing reports for monitoring.
Participate and assist leadership and team members with scheduling regular meetings and providing agenda topics; co-facilitate recurring internal/external meetings.
Provide individual technical support related to NEMT operational benefit education to internal teams, vendors, and partner organizations; identify systemic issues where more dedicated support is needed.
Vendor & Partner Support
Foster positive and collaborative relationships with internal teams, vendors, and partner organizations.
Support and assist leadership in scheduling, agenda creation, and note-taking for external vendor and partner meetings and engagements as needed.
Assist in identifying and tracking vendors, partners, and subcontractor performance success stories and gaps.
Assist in the coordination of member transport activities and services with internal departments and external entities.
Project & Process Improvement Support
Provide project and process improvement coordination, including monitoring timelines, status, and gathering updates from individual and group contributors.
Utilize organization-provided project management and process improvement tools to support project management and process improvement activities.
Coordinate the development and maintenance of tracking activities for vendors, partners, and/or subcontractor operations.
Experience and/or Education
Required
Minimum 3 years’ experience in administrative, coordination, or operational support roles
Preferred
Experience working in healthcare or social services for low-income individuals
Experience collaborating with vendors or other external partners
Knowledge, Skills and Abilities Required
Knowledge
Growing understanding of and ability to research and learn more about the fundamental operational and regulatory activities related to Medicare and Medicaid programs and benefits
Growing understanding of project management tools and principles
Skills and Abilities
Ability to store, organize, and coordinate updates for policies and procedures
Strong ability to use good judgment and discretion to perform confidential assessments of operational requests, grievances, and appeals
Ability to effectively assemble, organize, contribute to, and distribute programmatic materials, information, and data for stakeholders
Strong spoken, written, and active listening communication skills in both external and internal venues
Moderate proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
Ability to participate in building relationships with vendors, CCOs, and CareOregon functional staff
Excellent organizational skills and attention to detail
Ability to coordinate multiple tasks and priorities and meet deadlines
Ability to take initiative and follow through on tasks
