In this role, you are the behind-the-scenes coordination that helps ensure every resident receives safe, timely, and well-organized care.ResponsibilitiesMaintain and organize resident medical records in compliance with regulatory standardsAudit charts and ensure documentation accuracy and completenessClose medical records following hospitalization or dischargePrepare admission and discharge summaries and coordinate required documentationSupport care planning, MDS processes, and interdisciplinary team meetingsSchedule resident appointments including labs, consults, dental, podiatry, and other servicesMaintain lab schedules and ensure timely completion of required testingManage unit supplies, forms, and treatment materials through ordering and inventory trackingAssist with clerical functions such as typing lists, updating records, and preparing documentationDistribute mail and support communication across the unitRespond to call lights and direct requests to appropriate staff when neededSupport resident transport coordination and scheduling of facility van servicesAssist with obtaining statistics and documentation for reports and regulatory surveysMaintain confidentiality of all resident information in accordance with HIPAA standardsParticipate in staff meetings, training sessions, and in-service educationQualificationsMinimum of 16 years of age required; HS diploma or equivalent preferredEmployment Certificate/Permit required for applicable individualsOffice practice skills necessaryKnowledge of medical records processing preferred but not requiredAttention to detail and accuracy in work requiredPersonal qualities of tact and dependability, caring and compassionate attitude toward residentsAn understanding of need for confidentiality and discretion in processing of information about residents required.Basic understanding of medical terminology and accepted abbreviations.This position requires regular interaction with residents, coworkers, visitors, and/or supervisors.
