nSummary
nWe are looking for a Refractive Program Coordinator to take ownership of the entire LASIK and refractive surgery patient journey from first inquiry through post-operative experience, while building a scalable system that supports and drives growth in surgical volume and patient satisfaction.
nDuties
nPatient Journey Ownership
nn Manage the full refractive patient lifecycle from initial inquiry through post-op follow-up.
n Ensure timely responses, clear evaluation pathways, confident counseling, and a smooth surgical experience.
n Maintain high patient satisfaction and cultivate patient advocates.
n nLead Management & Conversion
nn Respond promptly to all incoming leads (phone, web, text, referrals).
n Pre-qualify and schedule refractive evaluations.
n Track, manage, and follow up on all leads using a lead management system.
n Monitor conversion rates and optimize patient flow from inquiry to surgery.
n nClinical Coordination
nn Perform initial screenings, testing, and patient workups.
n Prepare charts and identify strong surgical candidates for surgeon consultation.
n Maintain efficient clinic flow and coordinate care across the surgical process.
n nPatient Education & Sales Support
nn Educate patients on procedures, expectations, and FAQs.
n Handle objections and guide decision-making.
n Present pricing and financing options.
n Schedule surgeries and coordinate pre-op requirements (testing, paperwork, medications).
n nSurgical & Post-Operative Experience
nn Provide general oversight into the surgery-day experience of refractive patients.
n Coordinate post-op scheduling and follow-up care.
n Track outcomes and ensure continuity of care.
n nMarketing & Referral Development
nn Participate in outreach efforts with the marketing team.
n Build and maintain relationships with referring providers (ODs).
n Track referral sources and report performance insights.
n Encourage testimonials, online reviews, and word-of-mouth referrals.
n nProgram Operations & Performance
nn Design and operate the refractive program as a revenue-generating service line.
n Maintain dashboards for lead tracking, conversions, and outcomes.
n Report performance metrics and pipeline status.
n nSystems Development & Process Improvement
nn Build and refine workflows, scripts, and operational processes.
n Identify bottlenecks and implement improvements.
n Develop scalable systems to support program growth.
n Train and onboard future coordinators.
n nQualifications
nn Knowledge of medical office practices and medical terminology.
n Strong knowledge of ophthalmic refractive surgical procedures is required.
n Experience in sales and building streamlined operations in healthcare are preferred.
n Skilled with building and generating metrics.
