Job description
Contract Duration: 1 Year Contract
Working Hours: Monday to Friday, 9:00 AM – 6:00 PM
Working Location: Orchard, Ngee Ann City
Summary:
The ideal candidate will have strong Office Management and Employee Engagement experience , preferably within a regional HQ or multinational environment , supporting up to 300 employees.
Key Responsibilities
Office & Workplace Management
Oversee daily office operations, including reception, meeting rooms, workspace management and office upkeep.
Manage office facilities, supplies, mail, couriers, filing and general office administration.
Coordinate with vendors, building management and landlords on contracts, services, POs, invoices and operational matters.
Ensure workplace health & safety requirements and emergency procedures are properly maintained.
Manage and track office operational budgets and identify opportunities for cost savings.
Workplace Projects & Onboarding
Coordinate office renovation and workplace improvement projects, including vendor and landlord coordination and seating plans.
Manage employee onboarding and offboarding arrangements, including access cards, workstations and equipment.
Support workplace-related projects and initiatives to enhance the overall employee experience.
Employee Engagement & Events
Plan and coordinate office events, team-building activities, celebrations, wellness programmes and employee engagement initiatives.
Partner with HR on employee experience, DEI, wellness and engagement programmes.
Support internal communications and employee feedback initiatives.
Create a positive, engaging and collaborative workplace environment.
Stakeholder & Vendor Management
Build strong relationships with internal stakeholders, vendors, landlords and building management.
Coordinate multiple stakeholders and ensure timely delivery of office and employee-related initiatives.
Negotiate with vendors and manage service quality and costs.
Requirements
Proven experience in Office Management, Workplace Experience and Employee Engagement .
Must have experience in supporting a regional HQ / MNC office environment
Strong experience in vendor management, facilities coordination and stakeholder management .
Experience coordinating office renovations, workplace projects, events and employee engagement activities .
Strong communication, organisational and multitasking skills.
Independent, proactive and comfortable working in a fast-paced, creative and dynamic environment .
Experience within retail, beauty, fashion, lifestyle, consumer or other brand-led industries will be advantageous.
