Facilities Management Services SupportThe purpose of this position is to support the Facilities Management Services function. This position provides vendor management support of onsite services and amenities in an energetic and fast-paced environment. This role requires an expert multi-tasker that will go above and beyond to provide the best service to our internal customers. The role will be expected to build and maintain strong vendor relationships to maximize performance and value delivered according to the vendor's scope of work.A Day in the Life:Landlord Management:Coordinate Landscaping and Snow Removal interface to landlordsCoordinate Window Washing by landlordsIssue Sitewide communications regarding landlord workSecurity Management:Build and manage relationships with Contracted security vendorEnsure vendors are performing services according to SOWCoordinate site level work with Global Security Operations Center (GSOC)Issue Sitewide communications regarding Security workOversee daily operations of security for the sitePrint, issue, and track employee badge access and systemMaintain and repair badge readersPerform monthly and quarterly access audits per SOPMaintain and repair surveillance cameras and systemPerform badging and training for site service vendorsMaintain visitor logs and visitor management systemVendor Management:Build and manage relationships with site vendorsFor vendors under direct oversight, ensure services meet SOW intentParticipate in RFPs for new assigned vendors as neededDevelop and maintain quarterly KPIs for assigned vendorsConduct business reviews with vendors on a quarterly basisCommunicate and track service issues for resolutionPlan and coordinate installation of assigned services in new spaceEnsure vendors work within scope of assigned budgets - Micro Market and Beverage Service - Event Logistics and Catering - Shredding services - Common area Janitorial ServicesKeys to Success:High / Secondary school diploma or equivalent and relevant formal academic / vocational qualificationTechnical positions may require a certificatePrevious experience that provides the knowledge, skills, and abilities to perform the job (comparable to 6 years).In some cases, an equivalency, consisting of a combination of appropriate education, training and/or directly related experience, will be considered sufficient for an individual to meet the requirements of the role.Knowledge, Skills, and Abilities:Experience managing vendors and/or amenity servicesExperience working in a corporate environmentAdvanced understanding of Microsoft Excel, Outlook, PowerPoint and WordAbility to communicate clearly and professionally both in writing and verballyAbility to work independently and cross-functionally in a dynamic environmentProject management skills to handle multiple projects, concurrently, with minimal supervisionAbility to interface with all levels of the company in a professional manner.Exceptional problem-solving skillsWillingness to complete a broad range of administrative responsibilities ranging from entry to senior-levelWorking Conditions and Environment:Able to communicate, receive, and understand information and ideas with diverse groups of people in a comprehensible and reasonable mannerAble to work upright and stationary and/or standing for typical working hoursAble to lift and move objects of 15 to 40 poundsAble to work in non-traditional work environmentsAble to use and learn standard office equipment and technology with proficiencyMay have exposure to potentially hazardous elements, including infectious agents, typically found in healthcare or laboratory environmentsAble to perform successfully under pressure while prioritizing and handling multiple projects or activitiesExposure to fluctuating and/or extreme temperatures on rare occasions
