About the Opportunity
A growing luxury residential construction company is seeking an
Administrative Assistant to support its ownership team and help drive the day-to-day coordination, organization, and execution of business operations.
This is an ideal opportunity for a highly organized, proactive professional who thrives in a dynamic, entrepreneurial environment and enjoys working across
executive support, construction operations, client relations, vendor coordination, and business development
. The right person will bring strong judgment, discretion, follow-through, and the ability to anticipate needs while helping turn priorities into action.
This is
not a routine administrative role
. You’ll serve as a key operational partner, helping leadership stay organized, projects move forward, and important details receive the attention they deserve.
What You’ll Do
Support executive operations
by managing calendars, schedules, priorities, deadlines, follow-up items, and decision-support workflows.
Coordinate with
clients, vendors, subcontractors, real estate professionals, consultants, and internal stakeholders
, handling confidential information with professionalism and discretion.
Assist with
spec and custom home selections
, including vendor coordination, sample tracking, decision logs, presentation preparation, issue escalation, and recommendations to ownership.
Help coordinate
construction schedules
by confirming subcontractor commitments, tracking delays or no-shows, identifying operational risks, and recommending solutions.
Support
sales, marketing, client presentations, real estate office appointments, and business development initiatives
.
Research and evaluate
marketing firms, vendors, consultants, systems, and resources
that could improve operations and support business growth.
Maintain organized
project, client, sales, and operational tracking systems
, ensuring clear ownership, deadlines, next steps, and follow-up.
Support
customer service and homeowner communications
, ensuring clients receive a polished and professional experience.
Prepare
reports, meeting notes, summaries, recommendations, and operational updates
to support leadership decision-making.
Represent the company with professionalism while safeguarding confidential business information, client relationships, pricing, vendor relationships, and internal processes.
What We’re Looking For
Experience in
executive operations, operations management, project coordination, executive support, construction administration, or a related field
.
Highly organized with exceptional follow-through and the ability to manage multiple priorities.
Strong communication, problem-solving, and relationship-management skills.
Comfortable working independently, exercising judgment, and proactively identifying what needs to be done.
Professional, polished, and discreet when working with executives, clients, and business partners.
Experience in
luxury residential construction, real estate, design, or a related industry
is a plus.
