nnnBasic math, basic editing, and time management

n

nnProficient with Microsoft Office

n

nnAbility to prioritize workload and manage multiple projects and complete within deadlines

n

nnDemonstrated communication skills across administrative units

n

nnMinimum three years of reliable experience working in a professional office environment

n

nnAbility to prepare clear, concise, and grammatically correct correspondence

n

nnAbility to establish and maintain effective records and files

n

nnKnowledge of accounting, budgeting, hiring, and purchasing practices

n

n nPreferred Qualifications

nnnPrior reliable experience in a university setting

n

nnFamiliar with Concur travel

n

nnFamiliar with Texas State software, i.e., Hireright, PaymentWorks, People Admin, and forms

n

nnPrior experience in planning successful events/meeting

n

nnKnowledge of Texas State policies and procedures

n

n nJob Description

nResponsible for monitoring and administering budgets at the department/office level. Responsible for providing budget change data entry, technical advice and support to department/office account managers.

nJob Duties

nnnPrepare and execute Marketplace orders in SAP

n

nnResearch vendor information as requested, i.e., vendor number, contact information, etc.

n

nnAssist faculty with travel in Concur

n

nnAssist with hiring of faculty and staff

n

nnPrepare scholarship awards

n

nnPrepare student stipends under grants

n

nnResearch open encumbrances over 90 days

n

nnReconcile Goods Receipts to items received on purchase orders

n

nnContact vendors about damaged, lost/late orders

n

nnSet up vendors in PaymentWorks system

n

nnValidate invoices to purchase orders and Goods Receipts/research discrepancies.

n

nnResearch info on promo items and request quotes

n

nnAttend Financial Services meetings

n

nnAssist in the coordination of special events and meetings

n

nnAdditional duties as assigned
