Completion of course work leading to an Associate of Arts major in secretarial science, office technology or a closely related field is desirable.Knowledge of advanced office procedures, including filing systems, record keeping systems, business correspondence reporting formats, office technology and work flow.High degree of proficiency in computer programs which include maintaining and creating major databases and other applications.Knowledge of budget administrationKnowledge of English composition, usage, syntax, spelling, grammar and punctuation.Ability to work independently with little direction exercising good judgment in relieving the administrator of administrative details and communication.Good health, physical stamina, fitness and vitalityGeneral Description: Under the direction of the Superintendent, Assistant Superintendent or Director(s) of Curriculum, plan and organize work flow and communication within assigned department. Interpret and apply knowledge of policies, rules, regulations and procedures, programs and organization to specific situations and issues.The tasks listed are representative of duties assigned in this classification. This is not an exhaustive list of all the tasks assigned and it is not expected that all of the tasks listed are necessarily assigned to all positions within the classification.Essential Functions: 1. Organize and manage assigned workflow within Central Office assuring efficiency and quality of administrative support operations. Coordinate the work of the office with other divisions and schools. 2. Maintain a professional demeanor in handling telephone calls. Must answer a wide variety of questions, regarding departmental procedures, practices and policy. 3. Keyboard, edit, and proofread correspondence, meeting minutes, contracts, bulletins, newsletters, handbooks, reports, forms, flyers, programs, and other documents using microcomputer. 4. Use advanced functions of text processing, database, and spreadsheet software; use specialized business and student software programs; enter data to microcomputer to maintain databases and generate documents and reports. 5. Perform specialized administrative staff work and special assignments. Collect information, statistical data and backup material; prepare and edit statistical, financial and administrative reports for approval. 6. Maintain records of departmental budget; income, and expenditures; and assist staff in completing professional development travel and reimbursement forms.7. Speak tactfully and courteously with staff and public and be sensitive to cultural, developmental, religious, and ethnic diversity of students and community. 8. Maintain effective communication with various district, city, county and state offices to facilitate cooperation regarding mutual concerns. 9. Work independently with and maintain confidentiality with privileged and sensitive records, materials and information in all aspects of job duties.Expectations: 1.
