Job OverviewAt The Logan Philadelphia, the Hotel Operations Assistant brings diligence and care to a role that supports the hotel's administrative, financial, or operational functions, enabling the guest experience to remain the focus. Every interaction in this role contributes to the art-led, Philadelphia-rooted guest experience that makes The Logan Philadelphia a celebrated destination on the Benjamin Franklin Parkway.ResponsibilitiesResponsibilities include:Type correspondence, reports and forms as well as prepare simple written correspondence.Respond to agent and guest requests for confirmations, special requests and billing folios.Assist managers on projects and special events.Support marketing and operations team on coordinating amenities for special packages.Assist managers with copying, faxing, scanning and shipping needsReview departure calls for any possible customer care issues and remedy with the guestReceive all customer care issues and resolve or send to the appropriate manager. Ensure all issues are closed within three daysMonitor Stay Experience platform, reviewing and responding to all guest reviews and tracking name mentions for hotel recognition.Make all VIP and reservations and set up amenities and fill out comp forms and obtain signaturesReview VIP guest log and ensure an appropriate arrival and stay experience with notes/amenitiesReview guest's special request log and ensure execution of needsEmail all arriving guests two days out with arrival email and respondParticipate in daily line-ups, taking notes and communicating relevant details for the day's operationParticipate in monthly safety meetings, taking notes and sharing follow-up.Make and issue Gift Certificate and keep GC log up to date and make GC reservationsMonitor timecards for hotel operations hourly associates ensuring accuracy and following of Fair Work Week compliance.Assist with any administrative requests from EC membersProfessional and positive communication to both guests and fellow employeesSupport daily operation by monitoring pending rooms, priority rooms, VIP requests and assisting as a liaison between housekeeping and front office operation.QualificationsQualifications include:Education/Formal Training High school diploma or vocational secretarial.Experience Previous secretarial experience preferred. Prior experience in hotel administration or hotel operation (Housekeeping or Front Desk) is a plus.Knowledge/Skills Ability to type 60 WPM, Microsoft Word applications: Word, Excel, Publisher and PowerPoint.Alphabetizing, grammar and punctuation skills. Standard business letter formats. Strong editing skills.Excellent attention to detail and multi-tasking skillsPhysical Demands The physical demands described here are representative of those that must be met by an associate to successfully perform the essential functions of this job.
