Job description

ReceptionistLocation: Lakewood, CO Salary: $17 - $19/hourThe Receptionist will set the tone for a visitor's first experience with the college, providing professional, friendly, and quality service to all students, staff, faculty, and guests of the RMCAD community. This role will support the college by creating a student-centric and customer service orientated flow of operation. The position is also responsible for overseeing all front desk and office operations, including handling incoming calls and inquiries, maintaining office supplies, and coordinating various administrative tasks for the campus.Essential Duties + ResponsibilitiesReception DutiesOversee general front desk operations and administrative functions.Greet visitors, determine the purpose of their visit, and direct them to the appropriate person or department.Answer, screen, and forward incoming phone calls in a professional and courteous manner.Provide information to callers and visitors regarding the college, departments, and directions.Manage the reception area, ensuring it is clean, organized, and presentable at all times.Receive, sort, and distribute daily mail, deliveries, and packages.Ensure security procedures for visitors, guest badges and temporary parking permits are followed.Collaborate with the Student Life and Admissions departments for conducting campus tours for visiting students and community members including walk-ins.Design and implement useful record keeping tools at the front desk such as: Current Visitors Log, Package Retrieval System, Internal Visitors Log, Phone Log, Tour Tracker, and QR Codes.Office Management + Administrative SupportManage Parking Pass registration (Faculty/Staff and Students).Assist marketing and admissions with preparing and sending recruiting and enrollment materials.Work with marketing to assemble, organize and distribute RMCAD merchandise for tour guests and other visitors to campus.Manage and maintain office supplies, including ordering and inventory control.Assist with planning and coordinating office events and activities as requested.Provide administrative support to admissions department and staff members as needed.Provide event support as neededProvide backup facilities security (unlocking/locking buildings)Perform other administrative and clerical duties as assigned.Key Performance Indicators, Objectives + Key Results, Behaviors + AttitudesQuantitative and Qualitative Key Performance Indicators (KPI's) as detailed in Departmental Quarterly Review Meetings (QRMs)Regular participation in and contribution to departmental Objectives and Key Results (OKR) Process (Collaboration, Innovation, Prioritization of Individual Tasks, Action)Behaviors and Attitudes reflect RMCAD's Mission, Vision, and ValueQualificationsProven work experience as a Receptionist, Front Office Representative, or similar roleProficiency in Microsoft Office Suite and/or Google SuiteHands-on experience with office equipment (e.g. mail machines and printers)Professional attitude and appearanceSolid written and verbal communication skillsAbility to be resourceful and proactive when issues ariseExcellent organizational skillsMultitasking and time-management skills, with the ability to prioritize tasksMust occasionally lift and/or move up to 25 poundsCustomer service attitudeExcellent interpersonal skills; ability to be adaptable and dependable; proven history of providing excellent customer service.Working Conditions + Physical DemandsThe work environment is a typical office environment which may include moderate noise, some evening or weekend hours, confined workspaces, fast work pace with unscheduled interruptions, and extensive time sitting and working with computers. Able to lift and carry up to twenty-five (25) pounds and to bend, stoop, or reach as needed to assist passengers. This position plays a pivotal role in fostering a supportive and enriching campus environment by coordinating, promoting, and enhancing access to a wide array of resources that contribute to the holistic development of students, faculty, and staff. Through effective communication, collaboration, and data-driven insights, this role contributes to the overall success and well-being of the campus community.
