Administrative Coordinator, CSAre you the person everyone relies on to keep things organized, on track, and running smoothly? Would you enjoy supporting dedicated teams who provide life-changing services to adults with intellectual and developmental disabilities?If you're highly organized, tech-savvy, skilled in Microsoft Office and database systems, and can commute to Shirley, MA (with occasional travel to other locations as needed), we'd love to hear from you!The Administrative Coordinator, CS provides administrative, operational, training, compliance and project support to Community Strategies and its Leaders and staff. This position supports efficient program operations and organizational objectives. Responsibilities may include coordinating operational activities, maintaining records and documentation, supporting compliance and quality improvement initiatives, assisting with financial and reporting processes, coordinating vendors and resources, and providing general administrative support. The Administrative Coordinator, CS serves as a resource to staff and helps ensure organizational processes are carried out accurately, efficiently, and in accordance with policies and regulatory requirements.Specific areas of responsibility include administrative and operational support; fleet operations and resource coordination; compliance, quality, and documentation support; financial and administrative coordination; training and staff support; vendor management; and other special projects and initiatives as assigned.What You'll DoAdministrative, Operational, and Project SupportCoordinate and support administrative, operational, and project activities across CS as assigned.Maintain records, reports, databases, and documentation while supporting meetings, trainings, communications, and service line workflows.Provide administrative support and technical assistance to staff, coordinate project implementation activities, and track assignments, deadlines, and deliverables.Fleet Operations and Resource CoordinationCoordinate fleet-related activities, including vehicle assignments, maintenance, rentals, repairs, and vendor communications.Maintain fleet records, reports, and documentation to support operational, regulatory, and insurance requirements.Monitor fleet utilization and related systems, identifying opportunities to improve efficiency, availability, and resource management.Compliance, Quality, and Documentation SupportAssist with audits, reviews, and quality assurance activities to support compliance with organizational and regulatory requirements.Coordinate the collection, organization, and maintenance of required documentation and records.Support quality improvement initiatives through data tracking, reporting, and follow-up activities.Financial and Administrative CoordinationSupport financial and administrative processes, including invoice tracking, reconciliations, purchasing, and reporting activities.Coordinate with internal departments, vendors, and external partners to support operational and business needs.Assist with monitoring expenditures, maintaining supporting documentation, and ensuring timely completion of administrative requirements.QualificationsRequired Skills/Abilities:· Excellent verbal and written communication skills· Exceptional interpersonal skills and a proven commitment to maintaining confidentiality· Proficient with Microsoft Office Suite or related software· Excellent organizational skills and attention to detail· Excellent time management skills with a proven ability to meet deadlines· Ability to proactively identify and solve concerns as they arise· Being empathic and anticipate the needs of your teamRequired Education and Experience:· High school diploma or equivalent.· 1-2 years previous experience in an office settingPreferred Education and Experience:· Three – Five years' related office support experienceTravel requirements:· Remote Work, some travel when necessaryOther dutiesPlease note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
